This role will focus on: As a Payroll Specialist, you will serve as a cornerstone in our organization, ensuring the smooth and accurate execution of payroll processes. Your expertise in payroll administration, coupled with your commitment to integrity and regulatory compliance, will drive our payroll function towards excellence. You will work within the Finance team and assist with Accounts Payable where required.

Payroll Processing: Utilize your extensive knowledge of payroll administration to uphold the highest standards of accuracy, compliance, and confidentiality in processing bi-weekly T&A and payroll for 250+ employees in ADP WFN. Act as the knowledge expert for all payroll related queries.

Deductions and Benefits: Managing and submitting 401k in a timely manner and in adherence with statutory regulation and assisting with annual 401k audits. Working with HR to analyse and correct medical benefit deductions and track medical deductions.

Record Keeping: Maintaining organized and accurate payroll databases, records, and employee information related to pay and salary and operating within the internal controls framework of the business. Using strong Excel skills to analyse and review payroll data for accuracy.

Reporting: Preparing and distributing reports to Finance and Managers, ensuring all quarterly and annual reporting is correctly prepared and within required timeframes.

Employee Support: Addressing and resolving employee questions and concerns related to their pay.

Compliance: Collaborating closely with the Compliance Lead to ensure accurate and timely payroll withholding submissions, compliant employee tax data, and keeping up to date on all regulatory changes. Submitting garnishments where required to ADP and tracking progress.

System Upgrades: Assist the Accounting Operations Manager in future system upgrades and integrations.

Accounts Payable: Act as temporary cover in periods of absence of the Accounts Payable Specialist.

HR professionals: Ensure alignment between payroll and HR functions for seamless payroll processing.

External payroll service providers: Maintain strong partnerships to ensure accurate and timely payroll processing.

Finance teams: Coordinate payroll activities with financial reporting and budgeting processes.

Department managers: Collaborate on payroll-related matters, addressing inquiries and providing support.

External regulatory bodies: Ensure payroll processes adhere to relevant laws and regulations.

Employees: Engage in communication regarding payroll-related queries.

This is what you’ll need to be successful in this role

Payroll Expertise: Demonstrate proficiency in payroll administration, including T&A, payroll processing, taxation, and compliance. ADP WFN experience preferred.

Attention to detail: Critical for preparing bi-weekly payroll in a pressured time constraint and delivering a high level of accuracy.

Analytical Skills: Utilize strong analytical skills to interpret payroll data to avoid errors and ensure compliance.

Regulatory Knowledge: Staying updated on federal, state, and local labor laws and payroll regulations.

Problem-Solving Skills: Employ innovative problem-solving techniques to address payroll challenges and drive process improvements in an inclusive and collaborative manner.

Physical Demands

Mobility: Must be able to sit at a desk for extended periods, with occasional need to stand or move around to maintain health and well-being; occasionally lift or carry office supplies and equipment up to 10 pounds.

Vision and Hearing: Ability to use a computer and read documents. Effective communication skills to interact with colleagues and clients.

Work Environment: Typical office setting with moderate noise levels and standard office equipment.
