Job Title: Administrative Assistant

Schedule: Monday – Friday, 8:00 AM – 5:00 PM

Location: Richmond, Virginia

Overview

We’re seeking a highly organized and detail-oriented Administrative Assistant to support daily operations across multiple departments. This individual will act as the first point of contact for internal and external communications, coordinate scheduling and documentation, and ensure office activities run smoothly. The ideal candidate will demonstrate professionalism, strong communication skills, and a customer-focused mindset.

Key Responsibilities

  • Serve as the primary administrative support for department leaders and staff
  • Manage calendars, schedule meetings, and coordinate travel arrangements
  • Draft, proofread, and distribute correspondence, reports, and presentations
  • Maintain electronic and physical filing systems
  • Assist with onboarding new employees and supporting HR-related paperwork
  • Handle incoming calls, emails, and visitor inquiries with professionalism and accuracy
  • Prepare purchase orders, expense reports, and track departmental budgets as needed
  • Support planning and logistics for internal meetings, trainings, and events
  • Collaborate with cross-functional teams to streamline communication and workflow
  • Maintain confidentiality and ensure data accuracy in all administrative processes

Qualifications

  • 2–4 years of administrative or office support experience (corporate or professional setting preferred)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to multitask and prioritize competing deadlines in a fast-paced environment
  • Demonstrated professionalism, reliability, and discretion

Preferred

  • Experience supporting HR, accounting, or operations teams
  • Familiarity with office management systems or HRIS software
