JR101008**Department:**Administration**Job Description:****JOB DESCRIPTION:** The ***Executive Assistant*** provides high-level administrative and strategic support to senior leadership in a fast-paced, dynamic environment. This role demands exceptional organizational skills, discretion, and the ability to anticipate needs to ensure seamless daily operations. As a key partner to the executive team, the Executive Assistant contributes to operational efficiency, supports digital transformation initiatives, and fosters alignment across departments.**Key Responsibilities*****Calendar & Travel Management**** Strategically manage complex calendars across multiple time zones.* Coordinate travel arrangements and prepare detailed itineraries.* Ensure timely scheduling and minimize conflicts.***Communication & Documentation**** Draft and edit executive-level correspondence and reports.* Act as liaison between executives, internal teams, and external stakeholders.* Maintain confidentiality and professionalism in all communications.***Meeting & Event Coordination**** Organize executive meetings, develop agendas, and track action items.* Plan and execute leadership events and company-wide initiatives.***Operational Support & AI Integration**** Manage expense reports, purchase requests, and budget tracking.* Leverage AI tools to automate tasks and generate insights.* Maintain audit-ready documentation and ensure policy compliance.**QUALIFICATIONS:**Minimum Qualifications* Minimum 5 years’ experience supporting C-suite or senior executives.* Exceptional written and verbal communication skills.* Advanced proficiency in Microsoft Office Suite, Teams, and Power BI.* Strong organizational and time-management skills.* High level of professionalism, integrity, and emotional intelligence.* Experience with AI platforms.* Familiarity with LinkedIn, X, and Instagram.Preferred Qualifications* Workday experience* Experience in transportation, logistics, or operations.* Ability to create executive dashboards and performance reports.* Proven success in event planning and project coordination.* Experience using AI tools for scheduling, writing, or data analysis**SKILLS AND ABILITIES:*** Workday* AS400* MS365* Power BI* Excel* Executive Dashboards* AI tools* Organization* Discretion/confidentiality* Project coordination* Problem solving* Adaptability and flexibility* Written and oral communication* Attention to detail* Project Management* Calendar coordination* Travel management**Work Experience:**5+ years executive assistant experience in corporate environment**Workshift:****Education:****In compliance with Federal and State equal employment opportunity laws, qualified candidates are considered for all positions without regard to race, color, religion, sex, national origin, age, marital status, veteran status, non-job-related disability, or any other protected group status.**# **WHY STEVENS TRANSPORT:**Family is a top priority at Stevens and those values are integrated into everything we do, every day.
