Overview Executive Assistant - Investment Management - Boston, MA
We are seeking candidates for an Executive Assistant position with an elite investment management firm located in Boston, MA. The Executive Assistant will support various departments within the firm and be responsible for heavy calendar management, travel coordination, and meeting correspondence. The ideal candidate will have 2 years of administrative experience within professional services.
This is a contract-to-hire position that will pay $27-33/hr (depending on experience) within a 40-hour workweek. This position is required to be onsite 4 days per week in their Boston office.
Responsibilities Provide proactive calendar management and scheduling support
Coordinate complex domestic and international travel arrangements
Manage logistics for meetings involving multiple internal and external stakeholders
Prepare and produce detailed materials such as client reports, presentations, and meeting packets
Handle daily administrative tasks, including mail distribution, filing systems, and expense reporting
Assist with special projects, events, and visitor coordination as needed
Build and maintain strong, collaborative relationships across various internal teams and external partners
Perform additional duties and responsibilities as assigned
Qualifications 2 years of administrative experience within a professional services environment
Prior experience in the investment management industry strongly preferred
Global exposure—professionally or personally—considered a plus
Advanced proficiency in Microsoft Office; eagerness to learn new technologies to enhance efficiency
Exceptional attention to detail and commitment to producing high-quality work
Strong organizational, multitasking, and prioritization skills
Proactive problem-solving abilities and an anticipatory mindset
High degree of professionalism, reliability, and discretion
Ability to meet deadlines and adapt to last-minute changes in a fast-paced environment
