Position Summary
Public Health – Seattle & King County’s School Based Partnerships Program is seeking an Administrative Specialist II (ASII) to support the team goals by providing technical office supports. The School Based Partnerships Program manages several multi-agency programs and community partnerships to implement school health services, assure program quality, and provide technical assistance for school-based health partners in King County. This position will function within the Community Health Service Division and will work closely with other members of the School Based Partnerships team, schools, other government, and community partners to support implementation of school health programs.
Background
Community Health Services (CHS) operates in multiple locations to provide direct services assures basic health and human services are available to the most vulnerable people in King County, who are often outside mainstream healthcare systems due to barriers such as poverty, language, violence and racism. The School Based Partnerships Team manages several multi-agency programs and community partnerships to implement services, assure program quality, and provide technical assistance for school-based health partners in King County.

This position is Non Exempt and subject to the provisions of the Fair Labor Standards Act. Work Location Based out of the Chinook Building, located at 401 5th Ave, Seattle, WA 98104, but will also work in community-based settings. Some of the work associated with this position will be performed through teleworking, and will report to office location and to meetings as needed. Travel to other work locations may be necessary. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. To support employees during this time King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will be joining an innovative and progressive team.
Under general supervision and requiring a moderate degree of independent judgement, this position may: Provide specialized and/or technical program-specific information that requires limited interpretation of established policies, procedures and other relevant sources to internal and/or external customers over the telephone, in writing and/or in person. Some employees may have to deal with sensitive and/or potentially volatile situations. Actively use Microsoft Teams and SharePoint to centrally manage and coordinate program files; manage permissions, track and monitor team progress on adoption of this and other new technologies. Receive emails and provide record keeping from contracted partners to establish program-specific documentation and/or identify services needed. Maintain, inventory, order, collect and distribute supplies and/or equipment, as needed for meetings and events. Maintain data base of key program contacts via several Microsoft tools, including Forms, Teams, Word and Excel Compose, draft, type and/or word process, proofread and edit documents, contracts and/or correspondence to ensure these conform to established procedures. Support program communication including central email and phone, regular newsletters, updates on website and other public materials, responding to public inquiries, and maintaining contacts for program partners. Lead purchasing responsibility for the program as a King County P-card user (training available), process payments using Oracle iExpense/iProcurement. May modify and update desk procedures that relate to assigned work. Attend and take minutes at meetings. Develop and maintain record keeping process for team work and partner communication. Schedule and organize meeting logistics and maintain calendars for supervisor and/or organizational unit/program, including organizing large groups of external partners. Perform other duties as assigned. Our ideal candidate will demonstrate the following (Minimum): Proficiency (able to work independently) with software applications including primary Microsoft applications such as Outlook, Teams, Excel. Experience managing, organizing electronic files and using Sharepoint. Experience taking meeting minutes. Knowledge of proper English grammar, usage and spelling Skill in maintaining confidentiality on sensitive matters Knowledge of action tracking on specific work assignments or other items related to work position Knowledge of the operation of standard office equipment that may include personal computer, copier etc. Analytical skills Problem-solving skills Oral and written communications skills Organizational skills Customer service skills in person and via remote video conferencing.
