Our client is seeking highly organised and bilingual Executive Assistants (Mandarin & English) to support C-suite Executives in a fast-paced, high-trust environment.

Monday - Friday | Corporate Hours Job Responsibilities: • Manage the Executive calendars, including scheduling appointments, meetings and conference calls as well as coordinating travel arrangements • Screen and prioritise incoming calls, emails and correspondence, as well as responding to or redirecting inquiries as appropriate • Prepare and edit correspondences, presentations, reports and other documents for the Executive to ensure accuracy and professionalism • Coordinate and prepare materials for meetings, including agendas, presentations and supporting materials. documentations • Attend meetings with the Executive as needed – take meeting minutes and follow up on action items • Assist with special projects and initiatives as assigned by the Executive – conduct research, compile data and prepare reports as needed • Coordinate the Executive events and functions, including scheduling logistics and coordinating with internal and external stakeholders • Manage the Executive expenses, including tracking receipts and preparing expense reports • Maintain confidentiality and handle sensitive information with discretion and professionalism • Handle document management, i.e. printing, binding, courier, copying and filing • Assist in composing replies for CEO’s review and approval as and when required • Perform general administrative tasks such as filing, photocopying, scanning and ordering supplies to support The smooth operations of the Executive Office • Any other ad-hoc duties assigned from time to time by the Executive Requirements: • Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role • Strong organisational and time-management skills with an ability to multitask effectively • Excellent verbal and written communication skills • Proficiency in Microsoft Office Suite and calendar tools (Google Calendar, Outlook) • High level of professionalism, discretion, and confidentiality • Detail-oriented with strong problem-solving abilities • Ability to work independently in a fast-paced environment • Flexibility to work outside regular business hours occasionally • Fluency in both English and Chinese is required, with strong proficiency in verbal and written communication for liaising with Chinese Stakeholders/counterparts For quicker response, please contact me directly at: Whatsapp: Nine247221Six Telegram: @SmoothOctomater Email: berry.LIM@Octomate.us
