Base pay range $22.00/hr - $25.00/hr
Overview The Administrative Assistant provides essential support to the accounting, operations, and sales departments by performing a wide range of administrative and clerical duties. Responsibilities include responding to inquiries from the public, customers, visitors, and employees; providing information about company operations and departmental contacts; and transferring calls or directing visitors appropriately. The role also involves coordinating travel arrangements and performing additional clerical tasks as assigned.
Responsibilities
Collect, sort, and distribute incoming mail and package deliveries.
Prepare and process outgoing FedEx shipment labels.
Greet and assist visitors, determining the nature of their visit and directing or escorting them to the appropriate destination.
Operate a multi-line telephone system to answer, screen, and forward calls; provide general information; and take detailed messages.
Pull credit reports for new customers as part of the account setup process.
Perform general administrative tasks such as proofreading, transcribing handwritten materials, and operating calculators or office equipment.
Provide information about company departments, employees, or services when requested.
Order and maintain inventory for office and breakroom supplies.
Coordinate and place lunch meeting orders.
Email account statements to customers and follow up with those who have overdue balances via email or phone.
Operations and Sales Support Duties
Manage all product sample activities, including receiving, organizing, and shipping samples to customers.
Track both incoming and outgoing product samples and maintain a detailed inventory system.
Sort, label, and file product samples accurately.
Coordinate with the warehouse team to handle recycling or disposal of samples.
Assist with meeting deadlines and preparations for tradeshows and other sales-related events.
