Job Duties Member Liaison for Reporting Team (20%)
Serve as the primary point of contact for a significant member account; receive and process customer requests; address questions and resolve issues prior to escalation; document actions, progress, outcomes and satisfaction.
Services for Internal and External Customers (40%)
Manage efforts with stakeholders to document specific project management needs and services for each project.
Develop a deep understanding of project goals, workflows, and context to support practical and relevant management projects.
Support development, execution, and monitoring of vendor contracts.
Maintain transparent systems (e.g., Jira) to support project team task tracking and milestone awareness.
Provide customers with timely development and delivery of meeting agendas, notes, and action items.
Lead project meeting agenda management, discussions, and resource sharing with internal and external customers.
Lead change management by adapting plans, workflows, and documentation to adjust priorities and ensure continued alignment.
Serve as primary contact for general member email queries, phone queries, Teams channel questions, UAT questions, and status updates.
General Project Management (40%)
Lead cross‑team feasibility analyses to identify risks, constraints, and necessary resources.
Work closely with product management to integrate project milestones and deliverables into the product development lifecycle.
Facilitate stakeholder understanding of requirements, deliverables, schedule, and risks.
Manage development of project charters and related documentation.
Identify and document project requirements from business through solution level.
Lead planning with cross‑functional teams to build schedules and track work.
Identify and document project risks and mitigation strategies.
Direct project activities to complete on schedule and within budget.
Track progress toward completion and monitor impact on interdependent milestones.
Monitor budget actual spend versus planned budget.
Create and maintain all project management documentation throughout the lifecycle.
Manage project issues, escalating as needed.
Present monthly status reports to executive staff and members.
Continuously evaluate and refine processes based on feedback to improve efficiency.
Required Qualifications
Bachelor's degree or equivalent experience.
Significant experience applying project management theory in practice.
Experience using project management tools (e.g., Microsoft Project, Jira, Confluence).
Experience fostering collaboration among staff.
Clear, effective written and verbal communication skills.
Demonstrated listening and communication skills at all stakeholder levels.
Proven leadership and collaboration skills for positive teams.
Demonstrated virtual and in‑person presentation skills.
Effective organization skills; ability to prioritize tasks.
Ability to manage multiple projects and shifting priorities while maintaining quality.
Ability to develop and manage effective customer relations and respond promptly.
Ability to quickly assess and respond to customer needs with a customer‑centric approach.
