Position Summary The Vice President for Finance & Administration (VP) is an executive-level position reporting to the Co-Chief Executive Officer (Co-CEO) of Guttmacher Institute and will play a critical role in supporting the financial, technological, operational and strategic objectives of the organization. The successful candidate will be a forward-thinking and highly collaborative leader, partnering closely with the Co-CEOs and the broader Executive Leadership Team to steward Guttmacher’s resources and to support the organization’s continued impact.
Specific Responsibilities
Partner with and advise the Co-CEOs and Executive Leadership Team on financial planning, forecasting, budgeting, cash flow, investment priorities, and policy matters.
Lead the 15-member Finance & Administration Division, driving vision and strategy for the division, fostering a culture of collaboration, and supporting staff growth and satisfaction.
Work with the three directors (the Directors of Meetings & Events, Finance, and IT) that make up the division’s management team to ensure effective and efficient management of the division.
Serve as the management liaison to Finance Committee, Audit Committee, and Investment Sub-committee; effectively communicate about and represent finance, technology, and operations at committee and Board meetings.
Evaluate and strengthen policies, internal controls, standards and procedures. Establish practices and implement systems to support high performance, efficiency and accountability.
Optimize financial systems; improve systems integration and automation.
Develop key performance indicators for finance, administration & operations, and IT to enable executive leadership’s understanding of financial health, operational performance, risks, and opportunities.
Oversee all accounting and treasury activities including monthly closings, grants, accounts payable, accounts receivable, payroll, cash management, revenue and expense reporting, tax filings, audits, etc.
Lead and oversee the preparation of the Institute’s annual and long-range operating and capital budgets including funder, grant, and project level budgets.
Work collaboratively with Development on grants and philanthropic reporting; oversee contracts management systems including cost allocation plans and integration into the organization’s financial planning.
Ensure executive leadership team members and their respective teams receive timely and relevant management reporting to support all funder and project requirements.
Manage relationships with third-party investment management firms, ensuring compliance with investment policies and that target returns are achieved.
Oversee the Institute’s annual audit including uniform guidance and project-specific audit requirements as well as all federal, state, and local tax filings including but not limited to Form 990.
Ensure compliance with all federal, state, and local regulations applicable to financial and administrative activities.
Lead development and execution of immediate and long-term technology strategies that drive operational efficiencies and reduce risks; develop and maintain a forward-looking technology roadmap that supports the dynamic mission of the Guttmacher Institute.
Source and manage all risk partners including but not limited to brokers, carriers, and administrators; ensure insurance coverage balances risk tolerance levels of the Board and executive leadership.
Lead the facilities strategy for New York City and Washington, D.C. locations including lease administration, space planning, property and equipment acquisition and maintenance.
Partner with Finance & Administration team members to develop clearly defined roles, processes, and measures of success that facilitate open communication and positive working relationships within the department and with the broader organization. Provide mentoring and supervision to teams.
Ensure the Finance & Administration team has an appropriate understanding of Guttmacher Institute’s mission and where they fit within the mission; represent team needs among senior leadership.
Align financial, administration, and technology strategies with the mission and values of Guttmacher Institute.
Represent Guttmacher at meetings with donors as appropriate and requested.
Key Selection Criteria
Strong academic credentials required; MBA, CPA, or another relevant advanced degree strongly preferred.
Strong knowledge of GAAP as applied to nonprofit organizations.
Minimum 15 years’ experience in financial/operational senior leadership roles with deep knowledge of financial strategy and planning is required; experience leading IT; nonprofit experience in heavily grant-funded environment strongly preferred.
Demonstrated experience leading through periods of strategic alignment and change.
Experience with diverse income streams including restricted and unrestricted philanthropic revenue.
Experience driving technology strategy and working knowledge of data governance frameworks.
Experience leading teams of comparable size; experience operating within a unionized environment a plus, and partnering effectively with HR leadership.
Experience with nonprofit or fund-accounting systems (e.g., Blackbaud Financial Edge, Sage Intacct, Questica, NetSuite, QuickBooks Enterprise or similar).
Skilled in using software for budgeting, forecasting, reporting, scenario planning, and compliance tracking.
Experience leading complex technology implementation and integration projects including but not limited to ERP, CRM, and other organization’s core systems.
Experience working with and supporting Boards of Directors and board committees. Bachelor’s degree in accounting; master’s degree highly preferred.

Consistent with their ELT role, the VP carries out a number of leadership responsibilities for the organization, including helping to set strategy, foster a thriving organizational culture, and represent the Institute externally.
Risk Management
Supporting identification and management of critical risk areas in partnership with executive leadership, Audit Committee, and the Board.
Developing a cost-effective yet comprehensive business insurance program that contemplates the changing risk environment of Guttmacher Institute.
Developing and maintaining an information security program that dynamically protects the digital assets of Guttmacher Institute.

Compensation Salary starting at $240,000 to $290,000 commensurate with experience.
