Overview RemX by Employbridge is looking for an IP Client Administrator II with a strong background in domestic patent prosecution to join a collaborative and client-focused intellectual property team. This role is ideal for a professional who thrives in a fast-paced, detail-oriented environment and enjoys serving as the key liaison between clients, attorneys, and internal teams to ensure high-quality service delivery and seamless workflow execution.

Key Responsibilities

Serve as the primary administrative contact for assigned clients, building strong relationships and ensuring client satisfaction.

Prepare, review, and file U.S. patent prosecution documents and correspondence with the USPTO.

Manage and maintain client dockets, ensuring deadlines are tracked and all related data is accurate and up to date.

Process incoming correspondence, electronic filings, and client instructions; take appropriate action in line with firm protocols.

Collaborate with attorneys and internal departments to maintain database accuracy, file integrity, and adherence to established procedures.

Draft, maintain, and update client-specific reference materials, standard operating procedures, and process documentation.

Provide training, guidance, and procedural support to colleagues involved with client-specific matters.

Identify and recommend process improvements to enhance client satisfaction and overall workflow efficiency.

Utilize strong technology skills to manage documentation and data within IP management systems and Microsoft Office applications.

Support special projects and assist with testing and implementation of new systems or procedural updates as needed.

Qualifications

3–6 years of experience in domestic patent prosecution, ideally within a law firm environment.

Thorough understanding of USPTO rules, patent prosecution terminology, and procedures.

Excellent communication, organization, and problem-solving skills with exceptional attention to detail.

Proven ability to prioritize and manage multiple tasks efficiently in a deadline-driven setting.

Proficiency with Microsoft Outlook, Word, Excel, and IP docketing or case management software.
