Vaco is partnering with a client seeking an experienced

Sr. Payroll Specialist

to oversee payroll and benefits operations. This role plays a key part in ensuring accurate, compliant, and timely payroll processing in a fast-paced, multi-state environment. The ideal candidate is bilingual (English/Spanish), detail-oriented, and highly skilled in

ADP Workforce Now (WFN) .

Responsibilities

Manage full-cycle payroll processing for multi-state, multi-entity operations.

Ensure timely and accurate payments in compliance with federal, state, and local laws.

Maintain and update payroll records (new hires, terminations, tax withholdings, benefits deductions, etc.).

Audit timecards and collaborate with supervisors and employees to resolve discrepancies.

Process bonuses, severance, off‑cycle payments, and other adjustments.

Set up new state registrations and resolve agency tax notices as needed.

Support HR and Accounting with payroll‑related reporting and audits.

Benefits Administration

Administer benefit programs (health, dental, vision, life insurance, 401(k), FSA, etc.), ensuring ACA compliance.

Manage enrollments, eligibility, and open enrollment processes.

Reconcile benefit invoices and ensure timely premium payments.

Oversee Leave of Absence administration, coordinating pay accuracy, documentation, and return‑to‑work logistics.

Serve as the main point of contact for payroll and benefits‑related inquiries.

Qualifications

Bachelor’s degree in Accounting, Business Administration, Human Resources, or equivalent experience.

5+ years of full‑cycle payroll experience using ADP Workforce Now (WFN).

Strong knowledge of California and multi‑state payroll laws and compliance.

Experience with benefits administration and knowledge of related laws and regulations.

Advanced proficiency in Microsoft Excel and Office Suite.

Exceptional attention to detail, organization, and confidentiality.

Excellent written and verbal communication skills.

Bilingual in English and Spanish required.

CPP or HR certification a plus.

Determining compensation for this role at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. As required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
