The HQ Workplace Operations Manager will lead onsite workplace services, facility management, vendor management, optimize workplace environments, support events, and work closely with HR, Finance to deliver seamless operations and an exceptional workplace experience. Driving HQ operational excellence is key for success in this role. This is an on‑site position. Responsibilities
Oversee daily HQ operations across all workplace services, including reception, food & beverage, janitorial, mail/shipping, and office supply management. Ensure the office environment is safe, welcoming, and aligned with brand and culture standards. Lead space management and seating assignments. Develop and launch a robust facility management and preventive maintenance program in collaboration with other site leaders across the US. Oversee planning and execution of MAC (Moves, Adds, Changes) projects by partnering with business, IT, Security, and property management. Oversee permitting and construction of small projects in HQ. Manage facilities emergencies and issue timely communications to employees and executives through Slack and email, ensuring clarity, accuracy, and timeliness and alignment with business priorities. Own HQ budget and lead detailed fiscal planning for the HQ, ensuring accurate budget tracking and forecasting, and drive timely and accurate accruals reporting. Vendor & Service Management
Manage HQ vendor contracts and service delivery (janitorial, facility maintenance, food & beverage, office supplies, etc.). Conduct regular vendor performance reviews and service‑level audits to ensure accountability. Partner with Procurement and Finance on budgeting, cost control, and contract renewals. Ensure timely issuance of POs and PO tracking and invoicing across all services. Supervise HQ vendor staff and oversee daily schedules, training, and performance. Workplace Experience & Events
Partner with event planners to drive onsite engagement through hospitality‑focused services and cultural initiatives. Support HQ events, all‑hands and town hall meetings, executive visits, leading furniture, janitorial, catering services. Act as the face of workplace operations, ensuring employees feel supported and valued. Collaborate with IT for AV, conference room, and technology support across HQ. Serve as the key point of contact for building management and landlord relations. Partner with Security to ensure a safe, secure, and compliant workplace environment. Qualifications
10+ years of experience in facilities management, hospitality, workplace operations, with corporate HQ required. Proven track record managing large office operations and cross‑functional workplace programs. Strong vendor management and contract negotiation experience. Excellent communication and interpersonal skills; ability to represent the company with professionalism. Experience crafting clear, concise communications for employees and executives. Proficiency in workplace technology systems (ServiceNow, Jira, Envo, visitor & space management or similar platforms). Highly organized, proactive, and adaptable in a fast‑paced environment. Strong project management and analytical abilities. Bachelor’s degree in Facilities Management, Real Estate, Architecture or related field highly preferred. Deep understanding of regulatory and compliance requirements for the region. Expertise in systems such as Coupa, Jira, ServiceNow ticketing systems, Envoy or similar systems highly desirable. Passion for workplace experience and highly customer‑focused. Ability to remain calm, proactive, and adaptable in fast‑changing or high‑pressure environments. Professional conduct, positive energy, and team collaboration. On‑site availability and flexibility for after‑hours escalations when needed.
