About the Role
The Executive Assistant will serve as the right hand to the Founder, President, and CEO. This highly visible role is pivotal in protecting the CEO’s time, streamlining operations, and ensuring both professional and personal commitments are managed with precision.
The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment. They will anticipate needs before they arise, manage critical communications, and support the CEO’s focus on strategic growth, client priorities, and revenue-generating initiatives.
Key Responsibilities
Calendar & Scheduling
Manage a dynamic calendar balancing business, family, and personal commitments.
Protect the CEO’s priorities while ensuring meetings are scheduled with agendas and preparation.
Confirm appointments, drive times, and necessary details to eliminate surprises.
Email & Communication Management
Filter and prioritize inbound requests, ensuring only the most critical reach the CEO.
Draft and send professional correspondence on behalf of the CEO.
Ensure every inquiry receives a timely, respectful response.
Meeting Preparation & Follow-Up
Prepare agendas, materials, and briefing notes.
Track action items and ensure timely follow-up.
Provide concise recaps and keep projects moving forward.
Travel & Event Planning
Arrange itineraries, accommodations, and logistics.
Prepare trip files with confirmation details.
Support speaking engagements, conferences, and networking events.
Project & Task Management
Track key projects, deadlines, and deliverables.
Anticipate challenges and propose proactive solutions.
Maintain cadence of daily, weekly, monthly, and quarterly responsibilities.
Monitor CEO-related expenses and support invoice/payment processes.
Manage purchasing and gifting for business and personal needs.
Relationship & Network Coordination
Manage contacts, introductions, and networking opportunities to align with business priorities.
Serve as liaison between the CEO, staff, clients, and stakeholders.
Coordinate family and personal commitments alongside business priorities.
Qualifications
5+ years of experience supporting a senior executive, preferably a Founder/CEO.
Exceptional organizational skills and ability to manage multiple priorities.
Strong written and verbal communication skills—professional, polished, and personable.
Tech-savvy with proficiency in Microsoft Office, Google Workspace, Zoom, Slack, and scheduling tools.
Experience in event and travel planning required.
Discretion and trustworthiness in handling sensitive information.
Proactive problem-solver with the ability to anticipate needs.
Flexible, resourceful, and adaptable under pressure.
