Weichert Commercial Brokerage is hiring an Administrative Assistant in Morris Plains, NJ. This Hybrid role includes in‑office duties and support to the President and Sales Associates.

Responsibilities

  • Process daily commission payments using the company’s systems.
  • Create commission invoices in QuickBooks for closed sale & lease transactions; email open invoices monthly.
  • Maintain files for new exclusive listings and all current property listings and expiration dates; keep a full Excel report.
  • Submit signed orders to the vendor using paperwork from agents.
  • Prepare new hire paperwork for incoming agents; coordinate with HR as needed.
  • Submit requested standard monthly reports to the President.
  • Track vendor invoices for payment by accounting; use the company’s systems.
  • Provide routine office support including distributing mail and monitoring/ordering supplies.
  • Offer administrative support to a few Senior Sales Associates.
  • Handle confidential and time‑sensitive information.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED.
  • One to two years of administrative experience preferred.
  • Proficiency in Microsoft Office and Excel; QuickBooks training will be provided.
  • Good oral and written communication skills.
  • Strong attention to detail.
  • Basic math skills (addition, subtraction, multiplication, division, percentages, fractions).
  • Knowledge of typical office equipment.

The estimated annual rate for this position is up to $45,000, dependent on relevant skills, education, experience and location.
