We are looking for a hardworking, enthusiastic individual to join our team as a receptionist. Previous experience in General Practice is desirable (but not essential). However, if you do have experience, you may find this role easier if you had been in a patient facing role.

Main duties of the job

The role will be split between reception duties and administrative tasks including:

  • Meeting and greeting patients
  • Answering telephone calls from patients
  • Processing repeat prescription requests
  • Dealing with queries from patients and other service providers, ie hospitals and pharmacies
  • Processing online requests from patients (Patchs)
  • Other administrative duties associated with patient care

The successful candidate will have:

  • Confident telephone manner
  • Excellent communication skills; both written and verbal
  • Extensive customer service experience
  • Ability to work under pressure
  • An empathetic nature
  • A positive can-do attitude and willingness to learn
  • Work harmoniously with patients and staff
  • Be proactive in fostering a positive working environment

General practice experience is preferred but all candidates meeting the essential criteria above will be considered.

About us

Health Partners At Violet Melchett are looking to expand our friendly team of receptionist/administrators within our busy 10,900 patient GP practice. Alongside traditional GP services we offer a range of community services and activities so your job will be busy and varied. You will be based mainly at our newly refurbished premises just off the Kings Road, Chelsea SW3 but may at times be required to work in our Earls Court site.

Job responsibilities

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement tocarry out other tasks. This will be dependent upon factors such as workload andstaffing levels:

Maintainand monitor the practice appointment system

Processpersonal, telephone and online requests for appointments

Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately

Signpostpatients to the correct service

Initiatingcontact with and responding to, requests from patients, team members andexternal agencies

Clinicallycode data on Systm1 where appropriate

Photocopydocumentation as required

Dataentry of new and temporary registrations and relevant patient information asrequired

Inputdata into patients healthcare records as necessary

Directrequests for information, i.e., SAR, insurance/solicitors letters and DVLAforms to the administrative team

Manageall queries as necessary in an efficient manner

Maintaina clean, tidy, effective working area at all times

Supportall clinical staff with general tasks as requested

Actionincoming emails and correspondence as necessary

Scanpatient related documentation and attach scanned documents to patientshealthcare records

Completeopening and closing procedures in accordance with the duty rota

Asrequired support the pharmacy team in the management of repeat prescriptions,ensuring they are processed accurately and efficiently

Person Specification

Experience

  • Experience working in customer service in a busy workplace
  • General practice or working healthcare

Qualifications

  • GCSE grade A to C in English and Maths
