Assistant Property Manager – Residential
Job Summary
The Assistant Property Manager reports to the Property Manager and assists with operational goals, cash flow generation, and customer service with current and prospective residents. Responsibilities include leasing apartments, office management, and support.
Duties / Responsibilities
Oversees office operations and is responsible for all funds and daily bank deposits.
Supports leasing, resident retention, concessions, and customer service activities.
Performs leasing, responds to telephone and internet inquiries, and qualifies prospects.
Provides tours, opens rental applications and deposits, negotiates new leases and renewals, maintains resident files, and ensures timely move‐in.
Displays a friendly and courteous attitude toward residents, clients, and guests and contributes as a team player.
Provides excellent resident service for maintenance requests, call‑backs, supplies, and after‑hour calls as required.
Collects rent from residents and posts into RealPage OneSite.
Completes and reports move‑out, vacancy, traffic, market survey, and weekly activity reports.
Contacts delinquent residents, communicates late notices, and processes eviction notices according to company policies.
Distributes renewal notices to current residents.
Assists with resident issues and complaints and attends community events.
Ensures adherence to safety rules, policies, and incident reporting.
Inspects vacant units, monitors property landscape for safety hazards, and maintains quality aesthetics.
Completes paperwork for households with rental assistance vouchers.
Processes purchase orders, invoices, and sends to accounting.
Performs other duties as assigned by the Property Manager or operations.
Abides by Standard Operating Procedures (SOP) for rent collections.
Skills / Abilities
Familiar with federal, state, and jurisdictional laws concerning multi‑family housing and Fair Housing.
Sales knowledge, skills, and ability to sell products and services to existing customers.
Generates traffic, makes appointments, qualifies prospects, and sells the property to close leases.
Processes lease applications and all paperwork associated with generating a lease.
Conflict resolution skills to overcome objections and resolve issues.
Knowledge of general bookkeeping, accounting practices, and property management procedures.
Organizational skills to maintain records and schedules.
Verbal and written communication skills.
Proficiency with Microsoft Office applications and ability to learn RealPage OneSite.
Maintains confidentiality and appropriate discretion.
Administrative Requirements
Ensures adherence to safety rules and incident reporting policies.
Adheres to a varied work schedule, including weekends and some holidays.
Attends and participates in training programs and events.
Performs other related duties as assigned to meet the business needs.
Assists with marketing efforts in the community to promote the property.
Promotes positive resident relations and provides responsive service to resident needs and concerns.
Education and Experience
High school diploma/GED; or two to three years related experience in property management, leasing, hospitality, or related customer service, sales, marketing, or an equivalent combination.
Experience in customer service, sales, and/or leasing required.
