The Personal Office Assistant will serve as the Owner's right-hand person, managing their day-to-day administrative, business, and personal operations. This role is a hybrid of an Executive Assistant and a Personal Assistant, requiring exceptional organizational skills, unwavering discretion, tenacious follow-through, and a "no task too small" mentality. The primary goal is to maximize the Owner's time and efficiency. Responsibilities: Professional & Administrative Support (Office) • Calendar Management: Proactively manage and coordinate a complex, high-volume schedule of internal and external meetings, appointments, and deadlines, anticipating conflicts and logistical needs. • Communication Gatekeeper: Act as the primary point of contact; screen and prioritize all incoming calls, emails, and correspondence, drafting professional responses on the Owner's behalf. • Meeting Preparation: Prepare briefing materials, agendas, reports, and presentations for business meetings, and attend meetings as required to take detailed minutes and follow up on action items. Operational Support • Office Coverage & Float: Serve as a flexible resource to fill in office positions where needed, including covering the reception desk, handling basic accounting overflow, or assisting other department heads with administrative tasks during peak times or absences. • Owner Support: Handle day-to-day tasks that directly support the Owner's well-being and productivity, such as picking up and setting up lunch, managing personal appointments, and running quick errands. • Administrative Tasks: Manage general clerical duties, including making copies, scanning, faxing, and maintaining efficient management of office supplies. • Representation: Attend business or social events, meetings, or networking functions as requested, with or without the Owner, acting as a professional ambassador for the firm. • Phone Management: Ensure professional and efficient phone coverage for the Owner and the main office line, directing calls and taking accurate messages with a high level of professionalism. Other tasks as assigned. Qualifications: Prior experience as a Personal Assistant, Executive Assistant, or high-level Administrative Assistant supporting a senior executive or business owner. Compensation: $18 - $20 hourly
