MBA Energy & Industrial is seeking a
Bid Coordinator
to support our estimating and preconstruction teams in managing bid invitations, documentation, and communications with subcontractors, vendors, and clients. This role is critical to ensuring that every bid is submitted accurately, on time, and in alignment with project and client requirements.

Key Responsibilities 1. Bid Administration Receive, review, and log bid invitations, RFPs, RFQs, and ITBs. Maintain a bid schedule and distribute key dates and addenda to the estimating team. Prepare and submit bid packages, ensuring all documentation meets client requirements. Track bid submissions and maintain an up-to-date bid status report. 2. Document Management Organize and maintain bid files, drawings, and specifications. Upload and distribute bid documents through platforms such as
BidClerk, BuildingConnected, and Procore . Manage version control for addenda, revisions, and clarifications. Archive bid documentation for future reference. 3. Communication & Coordination Serve as a liaison between estimators, subcontractors, project managers, suppliers, and clients. Coordinate
pre-bid meetings, site visits, and bid openings . Notify internal teams of bid updates, clarifications, and changes. Support the transition from preconstruction to project execution by transferring key documents to the project team. Follow up with subcontractors and vendors to confirm participation and receipt of documents. 4. Estimating Support Gather pricing information from suppliers and subcontractors. Compile proposal forms, bid sheets, and other estimating documents. Proofread and format proposals for accuracy and consistency. Validate bids to ensure accurate comparisons between subs/vendors. Support estimators in preparing bid summaries and comparison sheets. 5. Prequalification & Compliance Assist with completing and submitting prequalification forms. Vet subcontractors to ensure
IRA (Inflation Reduction Act)
compliance requirements are met. Support subcontractors in becoming IRA-compliant at the initial bid stage. Verify subcontractor and supplier compliance status before inclusion in bids. Track expiration dates for compliance documents and coordinate renewals. 6. Confidentiality & Professionalism Maintain strict confidentiality of all bid data, pricing, and proprietary information. Represent MBA professionally in all communications with clients, subcontractors, and suppliers. Adhere to company policies, safety standards, and ethical guidelines in all bid-related activities. 7. Reporting & Recordkeeping Maintain a
comprehensive bid log
including project name, client, due date, status, and results. Generate weekly and monthly bid activity reports for management. Track awarded projects and assist with post-bid documentation.
Qualifications Experience:
Minimum
3 years
in a construction or administrative support role. Technical Knowledge:
Familiarity with bid processes, construction documentation, and estimating workflows. Education:
Bachelors degree in a related field preferred (experience may substitute). Software Skills:
Proficient in Microsoft Office Suite; experience with bid management or estimating software a plus.
