Four Seasons Hotel Silicon Valley is currently looking for an Assistant Director of Finance. Job Description
The Assistant Director of Finance works closely with the Director of Finance, overseeing the day-to-day operation of the Finance Department and maintaining the general ledger and balance sheet reconciliations. Together with the Director, the Assistant Director of Finance is responsible for safeguarding the hotel assets and financial resources contributing towards maximizing hotel profitability. Responsibilities include, but are not limited to the following: People Function
Maintain harmonious and professional relationships with all departments and Home Office. Comply with and enforce Four Seasons’ Category One and Category Two Work Rules and Standards of Conduct as set forth in EmPact. Plan, organize, lead and control different projects and activities within the finance team. Identify coaching moments and ensure that those moments become opportunities of learning and development for the Finance team. Establish a rapport with the Finance team and other divisions within the hotel. Have a global working perspective and excellent communication skills – written and verbal. Supervise the day-to-day duties of the Finance team and assist as necessary. Hold monthly department meetings with Accounting Staff to ensure communication and address any issues affecting the team. Participate in and develop staff training programs to minimize staff turnover and maintain high morale, with emphasis on future advancement. Supervise, train and motivate department staff to thoroughly understand their duties and responsibilities. Meet with the Director of Finance regularly to communicate all accounting activities and results. Prepare reviews and development plans and take appropriate personnel actions as required (hire, commend, discipline, evaluate, etc.). Product Function
Thoroughly understand and possess a working knowledge of the Accounting & Finance Manual. Excellent understanding of Month-End Process including preparation of financial statements, accruals and journal entries, and reconciliations in line with GAAP. Attention to detail and ongoing innovation of daily finance team operations under the Director of Finance. Coordinate and prepare operating equipment and supply inventories in line with corporate policies. Prepare Daily Cash Position and manage investments of excess funds per corporate guidelines. Excellent understanding of the current USALI edition. Prepare or oversee local, state and federal tax returns and other reporting on a timely basis (including 80-20 rule reporting). Ensure rent expense is calculated accurately and related payments or accruals are correct per agreements. Ensure revenue/fee-related liabilities are accurate and compliant with agreements. Ensure proper electronic payment controls and batch sign-offs. Ensure strict access controls over unused cheques and proper segregation of duties for negotiable documents. Oversee post-departure credit card allowances and review “Unmatched Credits” reports monthly. Approve all journal entries with supporting documentation; non-standard entries countersigned by the Director of Finance. Ensure month-end closing cannot occur without all journal entries posted to the General Ledger. Prepare monthly reconciliations for all balance sheet accounts and ensure bank reconciliations are countersigned. Coordinate and facilitate external and internal audits. Continuously strive for process and efficiency improvements. Profit Function
Monitor and control expenses with attention to daily auditor reports and guest experience impact. Keep House Funds and Floats Counts up to date and mitigate profitability exposures. Assist the Director of Finance and Senior ADOF in forecasting and budgeting. Qualification
Education: University degree – Major in Accounting or Finance preferred. Experience: Three to five years in a related position with Four Seasons or another organization. Legal work authorization in the United States. Flexible scheduling availability required. Strong analytical, strategic thinking and business judgment. Working knowledge of GAAP and corporate policies; proficient computer skills. Excel and computer systems proficiency; knowledge of Sun, Birchstreet, Focus and Opera is valued.
