Proposal Specialist

Position Summary Southland Industries is seeking a Proposal Specialist to join our team. This role involves developing prequalification and bid proposal packages, managing RFQ and bid proposal submissions, collaborating with clients and internal teams, and maintaining project documentation standards.
Responsibilities
Develop prequalification and bid proposal packages and manage submissions.
Establish and maintain file structures for RFQ and bid proposals.
Manage client‑generated RFQ documentation and coordinate final submissions.
Prepare bid proposals including scope, resumes, project lists, organization charts, and collateral.
Assist in developing deliverable lists, timelines, and submission requirements.
Partner with internal clients to develop PowerPoint presentation design and content.
Partner with Marketing to develop and implement tools and procedures to ensure project documentation is published and maintained according to Southland standards.
Coordinate with Marketing to maintain project data for press releases, project profiles, and case studies and schedule media opportunities and trade shows.
Qualifications
Bachelor’s Degree in English, Marketing, Communications, or equivalent work experience.
Minimum 2 years’ experience writing, editing, and researching technical documentation, including proposal preparation.
Project Management experience preferred.
Adobe Creative Suite experience strongly preferred.
Unanet or Asana experience is a plus.
Experience in Service or Construction industry preferred.
Good project management skills with ability to meet assigned deadlines.
Strong customer service skills.
Strong verbal and written communication skills.
Strong research and analytical skills.
Ability to write, edit, and proofread content.
Strong multi‑tasking and prioritization skills.
Competent in MS Office, MS Visio.
