Overview
Reports to: Senior Project Administrator or Director of Office Admin FLSA Status: Full-Time, Salaried Non-Exempt Normal Working Hours – Office Hours: 8 am to 5 pm, Monday through Friday Position Objective: Assist the project teams with administrative paperwork and procedures of the construction process. Responsibilities
• Process subcontracts and purchase order contracts • Process subcontract change orders • Track and log certified payroll for pertinent projects • Process owner pay applications • Attend and record meetings and process meeting minutes • Perform some project management functions as needed to expedite projects—i.e. processing submittals, managing submittal log, request for information (RFI) log, and architect’s supplemental instructions (ASI) log • Process owner change orders in AIA (American Institute of Architects) • Process transmittals for all paperwork originating in office • Organize and maintain project files and databases (Prolog Converge) • Assist owners, subcontractors and suppliers to solve daily business problems in a timely manner • Assist receptionist with break/lunch coverage on the phones and acting as a back-up to cover the phones when needed • Additional duties as required Qualifications
• High school diploma or equivalent • One-two years of college preferred • Industry experience desired, but not required • First Aid/AED/CPR certification preferred
