EVENT LOGISTICS SPECIALIST Summary: Reporting to the Director of Media Relations and Communications, the Event Logistics Specialist plans and manages community programs and events, ensuring all logistics run smoothly. The role coordinates with stakeholders, handles vendor relations, oversees event operations from planning to review, and acts as the main contact for programming and event requests at designated CA facilities.
Essential Duties and Responsibilities:
Oversee event planning and logistics, including talent, venues, transportation, catering, and equipment.
Coordinate with vendors and staff for seamless execution.
Create and manage event timelines and checklists.
Monitor budgets and control costs.
Support Marketing and Communications with event promotion.
Facilitate alignment of events with CA’s strategic objectives and mission by fostering collaboration across teams.
Inspect venues for suitability and safety.
Prepare contingency plans for potential issues.
Track event progress, update stakeholders, and conduct post-event evaluations for improvement.
Perform other assigned duties as needed.
Qualifications:
A bachelor's degree in Event Planning, Hospitality Management, or related field is preferred.
At least 3 years of experience in a similar position is required.
Certified Meeting Professional (CMP) or comparable certification is considered an asset.
Experience with vendor management, including negotiation, invoice coordination, and post-event service evaluation, is required.
Established connections with local and regional vendors and event planning organizations are advantageous.
Knowledge, Skills, and Abilities:
Demonstrated creative thinking with a strong emphasis on innovation and effective problem solving.
Outstanding written and verbal communication abilities.
Advanced organizational and project management skills.
Proven capacity to manage multiple tasks efficiently in high-pressure, fast-paced settings.
Proficiency with current event planning software and related technological tools.
Willingness and flexibility to work during evenings and weekends as operational needs dictate.
Availability for travel to support events as necessary.
Exemplary customer service capabilities in interactions with both internal and external stakeholders.
Physical Demands of Job:
Ability to work in an office setting.
Position may require extended hours, including evenings and weekends, and travel to multiple work sites.
The salary range for this position is $75K to $80K. The actual salary offered will depend on the overall qualifications of the individual applicant for the position and the budgeted amount for the role.
