Position Information: The UCR School of Medicine (SOM) Facilities Department is seeking an experienced Senior Facilities Coordinator to oversee building operations, event scheduling, and space planning for our growing academic and administrative environment. This role is responsible for ensuring the efficient, safe, and compliant operation of SOM facilities through proactive coordination with internal departments, external agencies, and contractors. The incumbent will manage non-curriculum event scheduling, optimize space utilization, maintain building plans and emergency procedures, and support minor infrastructure upgrades. Working under general supervision, the Senior Facilities Coordinator will serve as a central point of contact for all facilities-related needs, delivering exceptional customer service while implementing operational procedures that enhance safety, functionality, and resource allocation across the School of Medicine.
The full salary range for the Senior Facilities Coordinator is $78,428.97 - $114,668.40 annually. However, the expected pay scale for this position is up to $84,985.00 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.
As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

Thorough knowledge in the areas of building space planning, codes, capacity, security, fire safety, organization and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. Strong interpersonal and communication skills.
Preferred Qualifications
Knowledge of architectural or engineering concepts.

Department Custom Scope The Senior Facilities Coordinator oversees building management, event scheduling, and space planning for the UCR School of Medicine. This role develops and implements space allocation and operational procedures, coordinates maintenance and safety compliance, and serves as a liaison with internal departments, external agencies, and contractors. Utilizes the School's scheduling software and provides training to other users as needed. Develops and maintains user guides and analyzes practices to formulate improvements to scheduling processes. Manages the master schedule for all campus venues using specialized event management software (e.g., 25Live, Trumba). This includes processing booking requests, optimizing space allocation, and overseeing all logistical requirements from initial inquiry to post-event and/or curriculum follow-up. 15%
Coordinates with multiple units throughout organization to provide a safe and secure facilities environment. Serve as the primary point of contact for all internal and external stakeholders. Provide exceptional customer service, facilitate communication between clients and campus service departments, and proactively resolve any scheduling conflicts or issues. 15%
Recommends facilities-related procedures and solutions, taking into account budgets, space allocation, staffing and infrastructure design. Conducts regular space audits to gather data on venue and/or classroom usage and efficiency. Analyzes this data to develop and present comprehensive reports with actionable insights for leadership, aimed at maximizing space utilization and resource allocation. Conducts assessments for School of Medicine units and operations according to established procedures. Updates asset data reported to the Facilities Director of Operations critical annual maintenance funding. Collects department and unit activity data and develops reports, dashboards, and other analytical tools. 10%

Develop, maintain, and update the department's digital assets, including managing website content and creating intuitive online forms to streamline event requests, data collection, and client communication. Recommends measures, metrics, process/service improvements, and opportunities. Creates data feedback mechanisms to measure progress in asset management, work completion, variation in standard completion times, job aging, and other metrics that drive KPIs.
