Job Description JOB SUMMARY:
Under the direction of the Director of Retention & Student Success and the Dean of Advising, this position combines direct student advising with operational leadership for Bay Path University and Cambridge College. The Assistant Director of Advising Operations ensures smooth processes that support student success, retention and progression. This role maintains a student advising caseload while overseeing operational systems that enable the advising team to work efficiently and strategically. The role supports holistic, coordinated wraparound advising services accessible online and on-ground.
This position leverages data and technology to coordinate outreach to students and collaborates with other student-facing offices to create a coordinated network of support. The Assistant Director will supervise the Academic Advisor and Success Coach positions and provide guidance to the team.
ESSENTIAL JOB FUNCTIONS
Provide guidance and leadership on retention and student success best practices under the direction of the Dean of Academic Advising.
Offer a supportive, collaborative experience for students as they enter, progress through, and complete their education at Bay Path University and/or Cambridge College.
Support ethical growth and transformational learning in fulfillment of the university’s mission and vision.
Support each student holistically by developing plans for success, including referrals to career services, disability services, tutoring, or counseling.
Maintain an assigned caseload of students with holistic advising, proactive outreach, course registration support, and referrals to campus resources.
Coordinate advising operations and processes, including management of early alerts, the Student Success Center inbox, and student communications.
Support development and administration of operational materials and documentation related to advising and retention initiatives.
Pull, analyze, and distribute reports using Salesforce, Jenzabar, Google Suite, and PowerBI to inform decisions and track retention progress.
Contribute to planning and implementing student success initiatives that are data-informed and measurable.
Identify process gaps and recommend improvements to streamline advising workflows and enhance the student experience.
Assist in developing or administering virtual events such as orientation, webinars, ceremonies, and graduation activities.
Maintain thorough and accurate documentation of activity using CRM and Student Information System tools.
Assist in leading collaboration with various student-facing offices to implement meaningful interventions.
Evaluate processes to improve the student experience through technology, customization and workflow design.
Support recruitment, marketing, admissions, orientation and retention activities as needed.
Collect, verify, and distribute attendance and participation data at the start of each session and coordinate with the registrar on student record data.
Consult with academic program chairs, deans, and other departments on policies and procedures related to advising.
Support Senior Director of Retention in overseeing social media platforms, intervention strategies, CRM coding, and communication plans.
Work with admissions and enrollment teams to ensure a smooth transition from admissions to advising.
Perform non-academic assessment of student onboarding experiences.
Train other staff as necessary.
Perform other duties or tasks as assigned by the University.
OTHER RESPONSIBILITIES If you operate a University-owned, leased or personal vehicle, follow all policies in the Operations Manual. Report any driving offense that affects license status within one business day to Human Resources or your supervisor. Failure to report can lead to disciplinary action including termination.

SUPERVISORY RESPONSIBILITIES Academic Advisor and Success Coaches
Requirements
Master’s degree required.
3+ years of experience in academic advising, student recruitment/retention, student services administration, or counseling, preferably for online and/or adult populations.
Proficiency with computerized student information systems and CRM systems.
Detail-oriented with a commitment to data collection and management.
Experience with student information systems (e.g., Jenzabar), CRMs (e.g., Salesforce), and data analysis/reporting tools (e.g., PowerBI, Google Suite).
Knowledge of student development concepts and advising practices.
Innovative thinker with a desire to improve processes.
Ability to manage both a student caseload and operational responsibilities.
Strong customer service orientation.
Excellent organizational and operational skills, with the ability to coordinate complex processes across systems.
Ability to collaborate and communicate effectively with diverse groups.
Ability to prioritize multiple responsibilities and meet deadlines.
Excellent verbal, written, and interpersonal communication skills.
Full understanding of FERPA and ability to handle confidential material with integrity.
This position is not remote. Must work at the Longmeadow, MA location.
