Position Summary Medical Assistant – Otolaryngology
– Full Time
Performs clinic support in both clinical and administrative areas. Under the direction and supervision of a licensed Nurse or Provider, the Practice Assistant participates in the delivery of patient care in accordance with hospital policies, procedures, protocols, and standards of practice.
Essential Responsibilities / Duties
Delivers care in a non‑judgmental, non‑discriminatory manner that is sensitive to and demonstrates respect for patients.
Collaborates with the licensed Nurse/clinic manager to determine work assignments, communicate status of delegated tasks, and maintain timely verbal communication.
Monitors patient flow, informs staff of arrival, and updates waiting room activity.
Conducts pre‑visit chart review and prepares for upcoming visits, including documentation of patient care needs, entering orders for labs and tests, and identifying resources such as interpreter needs.
Greets patients, escorts to exam room, and uses accurate medical terminology and abbreviations for all documentation.
Assists with intake processes such as vital signs, chief complaint, medical/family/social history, allergies, medications, immunization records, and patient education.
Collects specimens, labels, sends, and delivers to laboratory or pharmacy as appropriate.
Identifies emergency/crisis situations and initiates appropriate response actions within scope of role, communicating events to licensed Nurse/Physician.
Maintains competence in technical skills such as phlebotomy, POCT, EKGs, wound care, and specimen collection.
Provides basic skin care, wound care, and simple dressing changes with saline irrigations, arranging for Registered Nurse presence when required.
Assists with minor sterile procedures (e.g., IUD insertion, endometrial biopsy, pelvic exam) under direction of licensed Nurse or Provider.
Helps complete patient visit by printing forms, preparing prior authorization, and restocking supplies.
Restocks, replaces, and assembles patient equipment and supplies; alerts staff of broken or non‑functional items and prepares supply orders.
Performs other duties as needed.
Advanced Clinical Activities
Assist with chronic wound treatment, MOHS surgery, excisional surgery, laser treatment, cool/sculpting, cosmetic procedures, urodynamic studies, flow rate/voiding trials, low‑dye taping, phototherapy and PUVA.
Perform suture removals, phlebotomy, and specimen collection.
Clerical Support Performs all duties of an Ambulatory Services Representative, including registration, scheduling, and co‑payment collection.
Gather and update registration information; ensure accurate data entry into the system.
Verify third‑party insurance coverage, obtain prior approvals, and enter billing information appropriately.
Follow internal collection and cash control policies; inform patients of financial obligations and collect payments.
Direct patients with financial concerns to staff for application completion.
Create and obtain medical records and distribute copies to appropriate personnel.
Assign medical record numbers to new patients and collaborate with Medical Records department for duplicate records.
Maintain clinic files and patient records; screen charts, check lab work, x‑ray and other results.
Use computer terminal for access and input of patient information, lab results, x‑ray and other automated requests; communicate findings to healthcare team members.
Stamp and date charts as required; prepare files and clinic‑specific forms.
Mail out clinic notices and letters as required; handle clinic mail and deliver to appropriate person.
Reschedule patients from canceled or bumped clinic sessions; enter charge code and update diagnosis codes as directed.
Track and arrange for return of borrowed/rented equipment; maintain equipment logs and records.
General Duties
Demonstrate the knowledge and skills necessary to provide age‑appropriate care to regular patient groups.
Orient new staff; serve as a resource to float pool staff.
Conform to hospital standards of performance and conduct, including patient rights.
Utilize hospital’s cultural beliefs and respect attributes as basis for decision making and support mission and goals.
Advanced Administrative Duties
Schedule urgent patients into providers’ schedule for immediate evaluation.
Complete billing batch for advanced clinical activity (photo, PUVA, suture removal, dressing change batch).
Create and maintain special procedure and sub‑specialty patient list for reference.
Maintain special procedure and sub‑specialty areas: cleaning and audit; inventory and inspection of special equipment and instruments; stocking and ordering of special items; maintain vendor logs/relationship and inform nurse manager or designee of equipment needing service.
Other duties as assigned.

Maintain a presentable appearance in accordance with dress code requirements; wear visible hospital identification badge identifying self as a Medical Assistant.
Adapt to changing patient and practice unit needs, including offering assistance to other team members, floating, adjusting assignments, etc.
Collaborate with the nurse manager/clinic supervisor to coordinate break periods with the practice unit’s activities.
Act in a manner that supports a positive and collaborative work environment and that is congruent with established standards, policies, procedures, and regulations.
Work cooperatively and constructively with all staff members and take appropriate steps to effectively resolve interpersonal conflicts, seeking assistance from superior when needed.
Seek out and act upon constructive feedback regarding daily performance and work toward achieving goals identified during performance evaluations.
Participate in staff meetings/initiatives including appropriate quality improvement and education activities. If unable to attend non‑mandatory activities, accept responsibility to review meeting minutes and become knowledgeable of issues discussed.
Participate in ongoing educational activities to maintain technical competency and update requisite skills in area of responsibilities; maintain required certificates (safety regulation and infection control standard review, departmental and unit specific competencies).
Attends in‑services on new equipment, procedures and programs; maintain accurate annual education record.
Comply with established practice standards, policies, procedures, protocols, guideline, and regulations (DPH, TJC, Fire Codes, OSHA, etc.).
Adhere to attendance, safety, and infectious disease control policies/standard; consistently available on the unit.

Job Requirements Education
High school diploma or GED plus at least one of the following: Successful completion of a medical assistant program; Successful completion of the second medical‑surgical clinical rotation; Equivalent combination of education and healthcare related work experience.
Experience
Requires at least two years of prior work experience. Experience in clinical setting is preferred.
Knowledge and Skills
Must pass clinical competency testing.
Ability to effectively speak, read, and write English.
