Food & Beverage Administrative Assistant The Food & Beverage Administrative Assistant is a platform to join our highly skilled and recognized team. This person must be highly motivated self‑starter with great communication skills. This position is responsible for providing administrative support to the Outlets, Stewarding, Culinary and F&B Leadership teams. Organizational skills, computer proficiency, communication skills, multitasking and ability to complete projects in a timely manner are a must.

Main duties

Input weekly department schedules into payroll system

Update colleagues time cards in payroll system and keep record of outside labor usage

Update Event Order changes and Open Table changes daily

Attend Event Order meeting as needed

Complete Payroll for F&B Outlets, Stewarding and Culinary weekly

Order supplies for F&B: Outlets, Banquets & Convention Services

Request system access and maintain up to date documents for all F&B: Outlets, Stewarding and Culinary colleagues

Schedule and maintain communication with multiple outside labor companies

Assist in ensuring that all schedules are accurate and updated per the EO changes, pop‑up, revisions or change in forecast covers for restaurants/bars

Print out the “DISTRO” each day and ensure the Culinary and Stewarding boards are up to date

Monitor the call out line and update colleagues’ timecards as needed

Maintain the On‑call servers list to ensure the servers are aware of available shifts for confirmation

Maintain an updated Contact List for all Outlets, Stewarding and Culinary staff

Coordinate approved “REQUEST OFF” and “PAID TIME OFF” days on the schedule

Review applicants in candidate portal, and pre‑screen applicants and schedule for first round of interviews with appropriate management teams

Maintain and update New Hire training guides

Take meeting minutes for all Department Meetings/ Outlet Department Meetings

Update all outlet menus

Create and print buffet labels for outlet buffets

Collect all weekly/monthly temp logs and cleaning schedules

Qualifications

Prefer 2‑year associate degree or related work experience

Stable work history with verifiable accomplishments

Excellent professional references
