The Sales Operations Coordinator will be accountable for full order cycle, managing databases, and supporting the Sales teams administrative requirements.
Responsibilities
Full Order Cycle
Contract Management: maintain and save customer and broker specific documents and contracts on Microsoft CRM Customer Master Data Management: code and maintain customer master data in ERP system (Microsoft Business Central) - address, pricing, payment terms & conditions, min. freshness, on & off invoice conditions, chains; maintain distributor codes and item information on external platforms and databases Order To Cash:
Order Management: receive, process and monitor orders by transferring orders to fulfillment, communicating expected delivery date, explaining stock-outs and ensure correct invoicing Receivables Management: support Finance and communicate overdue/open/unpaid invoices to Sales and customers providing documents which prove the delivery
Product Update Communication: coordinate and inform customers and brokers about new products, product modifications, code changes, sell sheets, price pages, etc. Complaint Management: assist customers with complaints, maintain complaint management system (Microsoft CRM) and ensure resolution Credit Memo Management: process credit notes whenever necessary Sample Order Management: coordinate the fulfillment of sample and show orders Special projects Participate in S&OP meetings and act as interface between Sales and Global SCM & Local Logistics by supporting the communication flow Facilitate regulatory requirements from customers and brokers (food quality certifications, etc.) Responsibilities may evolve based on business needs; the employee is expected to remain agile and perform other duties as assigned by management to support the success of the organization.
Qualifications
2 plus years of full cycle order experience Ability to learn in fast paced environment Ability to communicate within a team to understand processes Computer and technology savvy Diplomacy dealing with customer and internal partners Understanding of customer service skills Voluntary Self Identification
