Position Summary The Accounting and Administrative Assistant is a part-time (20 hours a week) role that will work closely with the Vice President of Finance and Operations to support accounting and bookkeeping tasks and ensure that financial and donor records are accurate (75% of the role). Responsibilities also include assisting the Office Administrator with general administrative tasks that keep the office organized and running efficiently (25% of the role). Responsibilities

Accounting and Finance Support (75%): Assist with data entry of expenses, deposits, and payments in QuickBooks Help process invoices, vendor payments, and staff reimbursements Support reconciliation of monthly bank and credit card statements Assist with tracking restricted/unrestricted funding and preparing grant support documents Help prepare journal entries and monthly close documentation Assist with annual audit preparation and maintaining organized financial files Provide support with donor and auction databases Enter donations, pledges, sponsorships, and auction transactions Assist with reconciling fundraising events and preparing donor/auction revenue reports Support the Vice President of Finance and Operations on various financial activities and other tasks as needed Administrative Support (25%): Assist the Office Administrator with answering phones, greeting visitors, and handling general office needs Provide backup support for scheduling, filing, and correspondence Support donor mailings, acknowledgments, and event logistics Help the team with other administrative projects as needed Assist with keeping the office tidy and organized Essential Skills and Experience

1–2 years of bookkeeping/accounting support experience (nonprofit preferred but not required) Basic proficiency with QuickBooks (Online) and Microsoft Office 365 (Excel, Word, Outlook) Familiarity with donor/auction management systems a plus (training available) Excellent attention to detail and organizational skills Ability to work with confidential information Strong team player with clear communication skills Physical Requirements

The Grant Halliburton Foundation accounting and administrative assistant must have the ability to spend time seated, the dexterity to perform computer keyboard functions, and the ability to lift to 15 pounds. The employee must have reliable transportation. This role is expected to be in the office. Specific days and hours will be set in advance of hiring based on mutual needs. FLSA: Non-Exempt – Part Time (20 hours a week) Reports to: Vice President of Finance and Operations Compensation: $25 - $30/hour – depending on experience About Grant Halliburton Foundation
