Our team works nationally to raise awareness, provide training, and strengthen partnerships that create safer environments for children.The RoleWe are seeking a highly organized, detail-oriented, and tech-savvy Executive Assistant with strong bookkeeping and accounting skills to support the Executive Director and leadership team. This position is central to ensuring smooth operations, accurate financial tracking, and effective coordination across departments. The Executive Assistant will play a vital role in supporting NADECs mission while enhancing organizational efficiency and financial accuracy.Key ResponsibilitiesExecutive & Administrative SupportProvide direct administrative and scheduling support to the Executive Director and senior leadership.Manage complex calendars, coordinate meetings, and arrange travel logistics.Draft and prepare correspondence, reports, and presentations.Finance & Bookkeeping SupportPerform daily and monthly bookkeeping tasks in QuickBooks Online, including entering transactions, reconciling accounts, and maintaining accurate financial records.Prepare and process invoices, payments, and reimbursements, ensuring timely entry and categorization.Support accounts receivable and accounts payable functions.Assist the Finance Manager in producing financial reports, tracking grant expenditures, and preparing documentation for audits.Help monitor organizational budgets and maintain alignment between program and financial data.Ensure compliance with nonprofit accounting standards and assist with basic fiscal management tasks.Project & Grant SupportAssist with tracking grant deliverables, preparing reports, and maintaining documentation for funders.Support project management through document preparation, data entry, and scheduling.Contribute to grant-related financial tracking and reporting in coordination with Finance.Technology & Systems SupportAct as a liaison for digital tools and virtual platforms (Microsoft Office Suite, SharePoint, OneDrive, Zoom).Maintain accurate and organized digital filing systems.Cross-Departmental CollaborationPartner with Operations, HR, Finance, and Training teams to streamline administrative and financial processes.Serve as a resource for staff on administrative and accounting-related procedures.QualificationsMinimum 5 years of experience in executive or administrative support roles.2+ years of bookkeeping experience using QuickBooks Online (nonprofit experience preferred).Strong proficiency with Microsoft Excel and familiarity with financial tracking spreadsheets.Excellent attention to detail, organization, and communication skills.Experience preparing invoices, reconciling accounts, and supporting audits or financial reviews.Demonstrated ability to manage multiple priorities in a remote environment.Work EnvironmentFully remote role, with core hours aligned to CST or MST.Standard 40-hour workweek, with occasional evening or weekend commitments.Primarily computer-based work involving prolonged sitting and digital communication.Must occasionally lift or move up to 25 pounds.
