To support our continued growth, we seek a professional looking to grow their career in the field of Property Management. The Assistant Property Manager is a front facing role supporting the needs of our building tenants and customers.
Description Of Responsibilities
Hear and resolve matters of issue from tenants and customers
Manage information flow in a timely and accurate manner
Order supplies and restock management offices
Receive and process/code all invoices through company's billing system. Obtain and attach appropriate backup documentation
Generate all vendor Service Contracts, Addendums, Work Orders and Purchase Orders. Organize and file those documents upon completion
Ensure company has current/accurate Certificates of Insurance for all Tenants and vendors
Work with vendors on any outstanding invoices or invoice discrepancies
Respond to Tenant requests and needs; coordinate efforts with the Operation teams to resolve issues
Review and execute all Tenant charges, including additional billings such as Electric Usage, Cross Connect fees, Smart Hand service fees, Tenant bill backs, etc.
Assist with Accounts Receivable and Accounts Payable, including collection of rent, accruals, payment of expenses, CAM estimates, true-ups, reconciliations, compliance with lease terms, and preparation of all related documentation
Assist in the preparation of annual budgets, forecasts, monthly reports, and variance reports, including accruals, journal entries, and heavy financial reporting
Establish and maintain effective working relationships with internal and external tenants and vendors
Send out Tenant notifications; keep all Tenant lease files and all vendor files current and accurate.
General office duties including ordering/tracking office supplies, sending overnight shipments, arranging lunches, answering office calls, sorting mail, etc.
Communicate regularly with management and various business units
Provide ad-hoc support and complete requests as needed
Position Requirements And Desired Skills
A minimum of 5 years of experience in commercial property management and also in accounting.
High school diploma required; bachelors degree strongly preferred
A strong understanding of financial terms and principles, plus the ability to analyze financial statements
Considerable knowledge of commercial leases and vendor contracts
An extensive understanding of commercial real estate terminology
Work experience in an office environment and knowledgeable of office procedures
Strong experience with office management systems, MS Office and Excel
Familiarity with online calendars and cloud systems
Experience using office equipment, including printers
Excellent communication skills (via phone, email and in-person)
Experience exercising discretion and confidentiality with sensitive company information
Excellent organizational skills with an ability to think proactively and prioritize work
Be a detail-oriented problem solver, working towards meaningful solutions always
Experience working independently as well as collaboratively; effectively managing priorities while meeting hard deadlines
