Overview
Accounting Specialist - Accounts Payable role at St. Charles Community College (SCC). The position focuses on accounts payable, journal entries, monthly reconciliations, and other general ledger activities to support college financial operations.
Responsibilities
Accounts Payable: Process vendor invoices and match with purchase orders; prepare, review, and issue payments in a timely manner; maintain vendor records and respond to vendor inquiries; monitor outstanding payables and reconcile AP accounts.
General Ledger Support: Prepare and post journal entries; assist with monthly reconciliations of balance sheet and expense accounts; research and resolve account discrepancies.
Audit & Compliance: Compile and provide documentation for internal and external audits; ensure compliance with institutional policies, accounting standards, and regulations.
Reporting & Analysis: Assist in preparing monthly, quarterly, and year-end financial reports; generate ad hoc reports as requested by management.
Other Duties: Participate in special accounting projects as assigned; identify opportunities for process improvement and maintain confidentiality of financial and personnel data.
Education and Experience
Associate’s degree in accounting, finance, or related field required; bachelor’s degree preferred.
Minimum of two years of accounting or finance experience, preferably in accounts payable/receivable or general ledger functions.
Experience in higher education or nonprofit accounting is a plus.
Knowledge, Skills, and Abilities
Strong understanding of accounting principles and practices.
Proficiency with accounting systems and Microsoft Office (Excel, Word, Outlook).
Excellent attention to detail and accuracy in data entry and financial reporting.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Effective communication and interpersonal skills with the ability to work collaboratively across departments.
