Job Summary:
We are seeking a detail-oriented and knowledgeable HOA MUD and PUD Account Specialist to join our team. The ideal candidate will be responsible for managing accounts related to Homeowners Associations (HOA), Municipal Utility Districts (MUD), and Planned Unit Developments (PUD). This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with various stakeholders. This position will also be responsible for processing lockbox transactions efficiently and accurately, ensuring timely and secure handling of payments.
Key Responsibilities:
Manage and maintain accounts for HOA, MUD, and PUD clients.
Communicate with homeowners, board members, and vendors regarding account inquiries and issues.
Process incoming lockbox payments and deposits in a timely manner
Verify and reconcile payment information to ensure accuracy
Maintain accurate records of transactions and prepare reports as needed
Collaborate with team members to resolve discrepancies and improve processes
Ensure compliance with company policies and procedures regarding payment processing
Conduct mail runs to pick up payments as needed
Download and import daily validation files
Presort, open and extract incoming check remittance payments
Process, validate and balance all batches
Inputting data in the system while following standard procedures as well as customer specific processing instructions
Generate and deliver reports for all payments
Create client profiles in iRemit and Propay and provide customer support as needed
Assist clients with account questions that pertain to, but not limited to signer changes, stop payments, check orders, account closure requests, debit cards and statement requests.
Interact with customers and branch personnel via E-mail and telephone to resolve payment transmission issues
Maintain a thorough working knowledge of all banking business account types to be able to combine this knowledge with that of treasury management products and apply that knowledge to efficiently assess and resolve client issues
Assist with special projects and other duties, as assigned

Minimum Level of Education
High school diploma or equivalent; additional education in finance or accounting is a plus
Previous experience in payment processing or a related field preferred
Skills and Abilities Required
Strong attention to detail and accuracy
Excellent organizational and time management skills
Strong communication skills, both written and verbal, and maintain a professional demeanor.
Familiar with Banking products and services.
Knowledgeable in Microsoft Office software applications that include Word, Excel, databases and the ability to integrate applications with each other
Demonstrates strong interpersonal skills; positive outgoing personality; group facilitation skills.
Broad knowledge of departmental balancing, operations, policies and procedures.
The ability to operate a variety of automated and standard office equipment.
Ability to work in a fast paced production environment with consistent deadlines.
