International financial institution is seeking an experienced and highly organized Executive Assistant to support their CEO in a dynamic and fast-paced environment. This role involves providing top-notch administrative support, managing travel and expenses, coordinating meetings and events, and facilitating effective communication within our organization and with external stakeholders.
The position is exempt with bonus eligible.
Responsibilities:
Assist the CEO in various secretarial duties to ensure smooth day-to-day operations.
Responsible for managing travel arrangements and expense reports for the CEO and senior management team.
Efficiently coordinate meetings, lunches, and dinners, including those with clients and guests, to ensure successful interactions and outcomes.
Maintain clear and effective communication with group companies in the US and our Tokyo Head Office, ensuring seamless collaboration.
Answer and manage incoming phone calls with professionalism and courtesy.

Requirements
3-5 years of administrative experience supporting senior-level professionals, preferably in a bank or financial institution.
Proficiency in both English and Japanese, both written and spoken, is essential to communicate effectively with our global teams.
Well-presented with strong communication skills, maintaining a professional demeanor at all times.
Highly organized with meticulous attention to detail, capable of juggling multiple tasks and priorities in a fast-paced environment.
Ability to prioritize and work efficiently under time-sensitive conditions.
Familiarity with MS Office applications, including Outlook, Word, PowerPoint, and Excel.
