Essential Job Functions
Support the implementation of building operations strategies and procedures.
Conduct regular inspections of systems, equipment, and common areas.
Coordinate with maintenance teams and vendors for repairs and service needs.
Assist in managing building security, access control, and emergency protocols.
Deliver exceptional service to tenants, addressing inquiries and concerns promptly.
Coordinate tenant move‑ins, move‑outs, and space modifications.
Collaborate with leasing and marketing teams to support tenant retention.
Review and interpret commercial leases, abstracts, LOIs and emails for key lease terms. Using this data, accurately set up billing information including terms, base rents, escalations, step‑ups and various other charges in Yardi.
Produce lease abstracts, and track lease critical dates/monitor lease compliance.
Responsible for generating and posting charges in Yardi.
Calculate and post tenant CAM/TAX reconciliations.
Audit commercial accounts as needed.
Apply late charges and other fees to accounts where applicable.
Compose and send written correspondence, invoices, commencement letters, termination letters, etc. in a timely manner.
Respond to tenant inquiries, research and investigate tenant billing issues/problems, assist with arrears collections.
Assist with commercial financial reporting, including pre‑close, reclass and variance reporting.
Maintain and update commercial inventory and vacancy reports.
Keep tenant contact and emergency contact lists up to date.
Organize the company’s electronic and physical records/files.
Must be present on‑site and be able to move throughout the buildings to address community‑related matters, including exceptional communication skills to meet with tenants, staff, vendors and visitors.
Ability to travel between the main office and site locations within the portfolio and be able to ascend and descend stairs, including comfortability with exposure to varying environmental climates and circumstances.
Position may be required to perform duties outside their normal responsibilities as needed.
Qualifications
A minimum of 2 years of experience in commercial lease administration.
Associate’s or Bachelor’s Degree in Business or related field or equivalent experience.
Ability to understand and interpret complex commercial lease terminology (base rent, percentage rent, operating expenses, commencement date, rent commencement date, real estate tax, insurance obligations, etc.).
Demonstrate a strong work ethic, dependability, accountability, and responsibility, coupled with high organizational skills; capable of multitasking, meeting deadlines, and working under pressure while maintaining a professional attitude; self‑motivated and proactive, showing initiative without direct supervision.
Demonstrate strong written and verbal communication skills, adept at managing multiple inquiries with time‑sensitive deadlines; possesses excellent organizational, time management, and communication skills.
Proficiency in navigating computers and property management software, to include Microsoft Office, Yardi, Procure to Pay, Commercial Cafe.
Work authorization (required).
