supports accurate and compliant payroll tax processes by overseeing activities performed by a third‑party tax vendor. This role is responsible for reconciling payroll tax data, monitoring vendor filings and payments, and serving as the primary liaison between the company, tax agencies, and the vendor. The Payroll Tax Analyst ensures payroll taxes are calculated correctly, deadlines are met, and issues are resolved promptly.
Responsibilities
Serve as the primary contact with the third-party payroll tax vendor.
Review and reconcile payroll tax data submitted to the vendor for accuracy and completeness.
Monitor vendor filings and payments to ensure timeliness and compliance with federal, state, and local tax regulations.
Research and resolve payroll tax discrepancies and notices, partnering with the vendor and tax agencies as needed.
Prepare registration applications for state and local tax and/or unemployment tax IDs.
Maintain tax rates/tax codes within third-party vendor software.
Maintain accurate payroll tax records and reconciliations.
Assist with quarterly and annual year-end activities, including review of W-2s, W-2Cs, 941s, and other filings prepared by the vendor.
Support internal and external audits by providing payroll tax documentation and reconciliations.
Stay current on payroll tax regulations and communicate changes that may impact compliance or vendor processes.
Collaborate with Payroll, HR, and Accounting to ensure employee records are accurate for tax reporting.
Recommend process improvements to strengthen oversight and compliance.
Qualifications
Bachelor’s degree or equivalent combination of education and experience considered.
3+ years of payroll tax or payroll experience, preferably with vendor-managed tax filing services.
Strong understanding of federal, state, and local payroll tax regulations.
Experience reconciling payroll tax accounts and reviewing third-party filings.
Proficiency with payroll systems (UKG Pro, BI Reporting) and Excel (advanced formulas, pivot tables, data analysis).
Strong attention to detail, analytical ability, and problem-solving skills.
Excellent communication skills, with the ability to collaborate effectively across teams and with external partners.
