Overview

Bernheim Forest and Arboretum, a 16,000+ acre protected forest in Kentucky, about 25 miles south of Louisville, is seeking a seasoned database guru responsible for maintaining, managing, and preserving the integrity of Bernheim’s donor database (Altru). Bernheim is a privately owned not-for-profit, relying on donations and memberships, whose mission is to connect people with nature. Annually, over 350,000 people experience Bernheim through visits, educational programs, field trips, and Bernheim festivals. The Advancement Database Administrator (ADA) is responsible for managing Bernheim’s donor database (Blackbaud Altru) to assist the Advancement team in identifying, cultivating, soliciting, and communicating with donors and members. The ADA works closely with the Advancement team to ensure efficiency and timeliness in gift processing and acknowledgments, using best practices to maintain optimal data integrity and proactively finding efficient ways to streamline administrative processes in Bernheim’s Advancement Department, and serve as a support resource for Bernheim staff using the Altru database, and providing training as needed. Essential Duties/Responsibilities

Oversee the Altru database, which is the foundation for all organizational outreach and contains confidential, computerized records of members/donors, their giving histories, and other sensitive information. Manage data integrity, updates, and corrections, focusing on oversight of data quality and structure within the Altru database communicating with users to ensure accuracy. Analyze, review, and optimize database processes and procedures to improve methods for moving people along our continuum of engagement. Prepare recommendations for improvements in efficiency and effectiveness. Troubleshoot problems to ensure deadlines are met. Create and manage website forms, as well as member and donor email lists. Enter gifts and pledges, which includes high traffic, seasonal online giving campaigns. Generate member/donor acknowledgement letters and invoices. Respond to donor inquiries and complaints, including issues with donations. Prepare, generate, and build queries and reports and/or adapts existing reports as requested in a range of formats to track giving levels, renewal rates, pledge collection deadlines, recurring gifts, and other data for ongoing and campaign donors. Support data-sharing for quarterly newsletters and annual reports. Develop and analyze data-driven prospect lists to support year-round fundraising efforts and strengthen donor engagement strategies. Participate in fundraising and cultivation outreach, projects, and events, occasionally working evenings and weekends. Generate reports and/or provide data for organizational dashboards. Perform other duties as assigned. Experience And Expectations

Bachelor’s degree preferred. 3-4 years of database management or related experience required; combination of education and experience may be considered. Advanced knowledge of Blackbaud Altru or a comparable donor or customer relations database is preferred. Excellent organizational skills, analytical skills, and attention to detail. Strong verbal and written communication skills, with the ability to organize information and priorities. Excellent organizational, communication, interpersonal and time management skills. Demonstrated ability to work with a high level of accuracy and manage confidential and sensitive information. Proven record of identifying and evaluating data-informed patterns and outcomes. Experience creating data-informed donor prospect lists. Self-starter with strong work ethic and the ability to think strategically. Ability to work in a fast-paced environment and be able to start and resume work on projects, amid changing priorities, with capacity to meet deadlines. Focused on providing excellent customer service to donors, external partners, donors, and staff. Proficiency in Microsoft Office suite, including Excel and Power Point.
