A Brief Overview The Senior Office Administrator ("SOA") provides proactive, professional administrative support to ensure the smooth operation of the JAMS corporate headquarters. The SOA anticipates a full range of needs, addressing core front office responsibilities, coordinating office services, and providing high-level administrative support to leadership, as needed. Additionally, the SOA serves as a key liaison in event planning and coordination of monthly and annual events and partners closely with the Executive Assistant, providing coverage and support in executive operations and procedures. Responsibilities What you will do Assist with event planning and coordination of all HQ events. Support the annual Owners' Meeting under the supervision of the Executive Assistant to ensure a successful event. Manage reception duties, greet guests, and maintain a professional front office environment. Handle communications via emails, phone calls, and mail. Maintain cleanliness and stock levels in the front office, conference rooms, mail room, and cafe areas. Process incoming client payments and ensure records are handled accurately and transferred timely to JAMS' Lockbox. Manage office supplies and refreshments inventory, ensuring proper stock levels. Provide administrative support to leadership, including confidential tasks. Support scheduling and travel arrangements (flights, hotels) under the guidance of the Executive Assistant. Analyze work processes, anticipate business needs, and communicate actions needed to ensure workflow continuity. Collaborate with the Executive Assistant to resolve administrative issues and support cross-functional projects. Serve as a backup for the Executive Assistant during absences or busy periods. Act as a point of contact for vendors, building management, and service providers related to office operations. Uphold high standards of service and professionalism in all interactions. Perform other duties as assigned within the scope of the role. Qualifications High School diploma or equivalent (GED) required. Associate's Degree in Business Administration or administrative certification (e.g., CAP) required. Bachelor's Degree in Communications or related field preferred. 4-6 years of experience in administrative, clerical, or operations roles required. 2-3 years of experience in event planning and coordination preferred. 2-3 years supporting senior executives preferred. Proficiency in Microsoft Office Suite, project management software (e.g., Monday.com), and other relevant applications required. Strong verbal and written communication skills required.
