Job Summary
The Office Administrator is responsible for managing the daily operations of the office, ensuring a smooth and productive work environment. This role requires a proactive and organized professional who can handle a wide range of administrative and executive support tasks. The ideal candidate will be a highly motivated self-starter with excellent communication skills and a strong ability to multitask and prioritize effectively.
Key Responsibilities
Administrative Support:
Manage all general administrative duties, including answering and directing phone calls, responding to emails, and handling correspondence.
Office Management:
Oversee office supplies, equipment maintenance, and vendor relationships. Ensure the office is clean, organized, and well-maintained.
Scheduling and Coordination:
Manage calendars, schedule meetings, appointments, and travel arrangements for staff and leadership.
Human Resources Support:
Assist with new hire onboarding, including setting up workstations, providing welcome materials, and coordinating first-day logistics.
Event Planning:
Plan and coordinate company events, meetings, and off-site activities, ensuring all logistics are handled efficiently.
Financial & Budgeting:
Assist with managing the office budget, processing invoices, and handling expense reports.
Communication:
Serve as the primary point of contact for internal and external inquiries, maintaining a professional and helpful demeanor.
Office & Building Maintenance
Act as the primary point of contact for routine office maintenance and repair requests, and coordinate with the Facility and Safety Manager to address them.
Support the Facility and Safety Manager in scheduling and liaising with outside vendors for building inspections and emergency repairs.Work collaboratively with the Facility and Safety Manager to ensure the cleanliness and safety of interior and exterior office areas.
Assist in maintaining office equipment and coordinating repairs as needed.
Required Qualifications & Skills
Proven experience as an Office Administrator, Office Manager, or Administrative Assistant.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Exceptional organizational and time-management skills with a strong ability to multitask.
Excellent written and verbal communication skills.
Strong problem-solving abilities and attention to detail.
Ability to work independently with minimal supervision.
A professional and courteous demeanor with a customer service-oriented mindset.
Physical Requirements
Ability to sit or stand for extended periods.
Must be able to lift and carry up to 25 pounds.
Manual dexterity to operate office equipment such as computers, printers, and phones.
Ability to bend, reach, and stoop to file and retrieve office supplies.
Preferred Qualifications
Associate's or Bachelor's degree in business administration or a related field.
Experience with project management tools and software.
