Make arrangements for S/ES-EX or the detailed office to meet with senior level officials at the White House, the State Department, and other U.S. interagency bureaus and departments, and officials from foreign governments. Ensure that all administrative matters are properly handled; draft request memoranda to S/ES-EX or the detailed office for travel authorizations, passports, office equipment, clearances, and identification passes and computer log-ons; maintain all appropriate records within the office and oversee the accurate and department requirements for archiving records. Organize and review memoranda, letters, and other correspondence for S/ESEX or the detailed office to identify format deficiencies, clearances, completeness, and make corrections to documents as appropriate; determine document distribution; bring urgent items to the attention of leadership. Research and investigate facts involving administrative problems or other projects; gather, assemble, and analyze facts and present oral and written reports; participate on special committees or projects concerned with administrative matters; follow assignments through to completion and develop recommendations. Print daily briefing materials for S/ES-EX or the detailed office; review incoming correspondence and other documents; distribute classified and sensitive documents in accordance with security procedures; prepare draft correspondence for signature on a variety of substantive subjects. Utilize the SharePoint record keeping system to track the progress of action memoranda and other sensitive documents; maintain an office tickler system and file correspondence, reports, publications, and other documents for supervisors’ reference; conduct annual records disposition in accordance with Department Records Management procedures. Aid in the coordination of correspondence and materials; maintain contact with persons within and outside the Department to coordinate and expedite actions on agendas; prepare materials for presentation for review, including ensuring proper formatting and clearances; deliver written materials to the appropriate offices for processing. Screens telephone calls and meetings; maintain calendars for meetings within and outside the department. Prepare travel authorizations and transportation requests, review travel vouchers, and support overseas and domestic travel; make travel arrangements, including reservations, tickets, passports, and visas; prepare letters to officials of foreign embassies concerning visa requests as required. Maintain schedule for front office Principals. Manage office services by ensuring procedures, filing systems, and supplies are up to date. Perform special projects. Qualifications
Experience in fast paced government office. Ability to solve problems and encourage consistent, solid performance. English language (written and spoken) communications skills. Ability to manage multiple tasks, coordinate activities in multiple locations, act decisively in daily work, and work well in a multi-cultural team environment. Strong organizational, communication, interpersonal, and computer skills. Ability to work independently to assess priorities and manage daily coordination of details with minimal supervision. Active Top Secret with the ability to upgrade to SCI. Job Details
