Overview
Executive Assistant to the CEO - Insurance Client at Oliver James. This role supports the CEO (and CUO) within a fast-growing, privately backed specialty (re)insurer, with a focus on legacy and run-off markets. Location: East Coast, US (remote within EST only). Base pay range: $90,000.00/yr - $130,000.00/yr Responsibilities
Provide high-level administrative support to the CEO and CUO, including complex scheduling across multiple time zones, travel coordination, and expense management.
Coordinate Board and Executive Committee meetings, including agendas, materials, and minute-taking.
Liaise confidently and professionally with senior external stakeholders.
Oversee and coach a Team Assistant, ensuring smooth delivery of administrative support across the business.
Support multiple senior executives and business development leaders with meeting logistics, travel, and ad hoc requests.
Draft, prepare, and review executive-level documents and presentations.
Act as a trusted partner to the leadership team—balancing pragmatism, adaptability, and discretion.
Identify opportunities to streamline processes, improve efficiency, and introduce best practices within the executive support function.
Qualifications
Proven experience as an Executive Assistant supporting C-suite leaders in a
property & casualty (P&C) insurance or reinsurance company , with additional exposure to office management responsibilities.
Direct P&C industry experience is essential
- candidates without an insurance background cannot be considered.
Strong organizational skills with the ability to manage competing priorities, make sound decisions, and pivot quickly in a fast-paced environment.
Exceptional attention to detail combined with professionalism, discretion, and the ability to handle sensitive information.
Outstanding communication and interpersonal skills, with the ability to adapt to different personalities and build credibility with senior stakeholders.
