Overview Central Life Sciences is seeking an

Administrative Assistant

in our Dallas, TX location. This position will perform administrative duties for executive management. Responsibilities may include screening calls, making travel and meeting arrangements, preparing reports, training, and supervising other support staff. Requires strong computer and internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

Key Responsibilities

Priorities:

Relieve management of administrative detail, all projects

Coordinate workflow

Update and chase delegated tasks to ensure progress to deadlines

Take initiative in manager's absence

Keep projects on schedule

Maintain procedures manuals to ensure consistent performance of routines

Communication:

Compose correspondence/reports for own or manager's signature

Arrange essential mail in priority action order for executive

Check deadlines on incoming requests and put preliminary work in play

Process replies on own initiative or from executive's dictation or notes

Liaison for Dallas Vendor (Non-Inventory) additions and changes in SAP with Master Data Team

Liaison for Dallas SAP Security additions and changes with CG&P Security Team

Phone:

Manage all inquiries with capacity

Arrange "callbacks" to protect executive's time

Provide back-up materials for callbacks

Route calls elsewhere as needed

Appointments/Meetings:

Maintain calendar

Fix commitments to maximize executive's time efficiency; allow decision/desk time

When executive chairs meetings:

Prepare agenda in advance

Arrange meeting facilities

Act as recording secretary; prepare action minutes

Confidentiality:

High level of professionalism and confidentiality

Assure discreet handling of all business

Visitors:

Screen to control interruptions

Provide back-up data as needed

Arrange amenities as needed

Travel:

Arrange travel through internal or outside agents for executive and others as needed

Routines:

Update Work Instruction manuals for Production, Procurement, and Supply Chain Management and Warehouse as needed

Order office supplies as needed for Administration, Procurement, Production, and Warehouse

Update mail/phone directories and company organizational charts when needed

Projects:

Handle administrative detail, all projects

Manage various plant services including:

Employee uniforms

Personal safety equipment (safety glasses, safety shoes, etc.)

Copiers/office equipment

Coffee/beverage/vending services

Order pallets for Warehouse and Procurement as needed

Process invoices for payment

Supervision:

Ability to work independently with little or no supervision

Well organized, proactive, resourceful, and efficient

Qualifications

High school education, some college and/or business courses

5+ years' experience supporting at the executive level

Excellent calendar management skills, including coordination of complex executive meetings

Experience assisting management with the creation of PowerPoint presentations

Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook; SAP helpful

Experience scheduling both domestic and international travel for management

Excellent verbal & written communication skills, diversified PC based application skills, proficiency with office equipment technology

Pleasant disposition/excellent people skills, professional appearance, self-starter, highly dependable

Detail oriented, organized, and quick thinker

Working Conditions

Office environment with occasional visits to shop floor/warehouse

Off-site travel may be necessary
