Summary:
The Business Operations Coordinator will support programs operated by Center for Research and Engagement in STEM Education (CRESE). This includes administrative support and budgeting/accounting operations for the center’s K12 STEM education outreach programs as well as support of externally funded projects involving STEM training, education, and research. The Coordinator reports to the Program Director and interfaces with Program Coordinator and CRESE faculty.
Qualifications:
Bachelor’s degree required; Three (3) years related experience required; Five (5) or more years related experience preferred; Certifications in field preferred
Experience working as part of a team to complete projects in a fast-paced environment
Experience communicating or working with people external to the organization
Knowledge, Skills & Abilities:
Proficiency in budget development, tracking, and reconciliation; ability to run financial reports and extrapolate and compare relevant data
Experience working with procurement systems including knowledge of requisitions, purchase orders and invoices, and basic accounting principles
Experience with human resource functions; ability to coordinate with HR department to manage onboarding and compliance requirements for employees
Strong communication skills, including clear oral and written communication, English grammar, spelling, and punctuation
Effective problem-solving skills, including identifying, researching, analyzing, and evaluating information to resolve problems proactively
Ability to take initiative and independently plan, organize, coordinate and perform work
Excellent organizational skills necessary to handle multiple tasks and achieve results
Proven ability to work as a team player and demonstrate professionalism
Professional experience working with a diverse population
Ability to handle sensitive interpersonal interactions at all levels
Knowledge of office methods, intermediate Microsoft Office user (Word, Excel, PowerPoint), Teams or other collaborative systems
Knowledge of financial software for procurement processing, and budget tracking/reconciliation

Responsibilities and Tasks:
Budget and Financial Management
Maintain and reconcile all CRESE budgets, including shadow budgeting, grant spend-downs, and financial transfers
Assist with project budgeting for grants and partnerships, ensuring compliance with funding policies
Process purchase requisitions, purchase orders, and invoices; handle supply purchasing for various CRESE programs
Administrative Support for Partnerships
Support internal and external partnership projects by developing quotes, assisting with project budgets, and invoicing
Manage partner contracting process and ensure insurance requirements are met
Administrative Support for CRESE Staff and Related Faculty
Manage student employee onboarding process including forms for human resources, key requests, background checks, training compliance, etc.
Manage employee paperwork and compliance on an ongoing basis
Manage process for faculty and contractor grant payouts
Manage travel-related forms and processes, including mileage reimbursement for staff
Coordinate with other CSUSM and Corp offices, units, and divisions including procurement, HR, etc.
Event Coordination
Handle event-related administrative tasks, including hospitality forms, scheduling, and arranging food orders
General Office Oversight
Manage office supplies, equipment, and maintenance; support staff with administrative tasks as needed
Latitude and Judgment:
Ability to resolve conflicts and negotiate solutions
Ability to establish and maintain effective working relationships with program staff and school partners
Strong communication and interpersonal skills with proven ability to interact with a diverse range of individuals both in person and by email
Responsible and professional conduct that serves as role model to staff and youth
Work Environment:
Normal office conditions and daily use of a computer Visual Display Terminal (VDT)
