Duties and Responsibilities

Finance Budgeting:

Manage and reconcile all division financial accounts, including state, grant, foundation, and clinical revenue accounts. Monitor spending, prepare financial reports, and provide financial projections and analysis to support strategic planning and decision-making. Distribute monthly account statements to division director and Principal Investigators (PIs). Approve and process invoices, reimbursements, and purchasing card transactions in compliance with UAB policies. Assist with the preparation and implementation of the annual budgets and grants and contracts. Assist Principal Investigators (PIs) with budgeting and grant submission applications to NIH, HRSA, and etc. Monitor budget performance and alert leadership of variances. Personnel and Payroll:

Coordinate faculty and staff hiring processes, including preparation of job descriptions and submission of CRFs, and processing of ACT documents. Also includes paying SEARCH students, and monthly non-recurring payments for part-time faculty. Oversee payroll submissions, effort reporting, and timekeeping for employees and trainees. Maintain confidential personnel records and support performance review processes. Administrative Operations:

Ensure efficient day-to-day administrative operations, including office supply ordering, travel pre-approvals and reimbursements, equipment maintenance, facility management, and compliance. Serve as a liaison with Extramural Clinics, Community Outreach entities, HR, Financial Affairs, Contracts, IT, and other UAB central offices. Support division director with calendar management, meeting coordination, and correspondence. Coordinate division contracts, ensuring timely renewals and compliance. Clinical Revenue Oversight:

Monitor clinical billing and revenue collection and assist with tracking provider productivity and reconciling clinical income against expectations. May need access to additional software such as: Oryx and EPIC. Support billing processes and coordinate reimbursements related to clinical operations. Database and Records Management:

Maintain databases related to financials, faculty activities, clinical services, or departmental metrics. Generate and analyze reports as needed to support internal and external reporting. Compliance and Reporting:

Ensure compliance with UAB, and sponsor regulations regarding finance, HR, and data handling. Assist with internal and external audits as needed. Perform other duties as assigned. Qualifications

Bachelor's degree in Business or a related field and three (3) years of related experience required. Work experience may NOT substitute for education requirement. Preferred Skills:

Strong analytical, organizational, and interpersonal communication skills. Proficiency in Microsoft Excel, Oracle, and UAB systems. Ability to manage multiple tasks and meet deadlines with minimal supervision. Primary Location
