Job Summary: We are seeking a detail-oriented and client-focused Payroll Coordinator to join the payroll outsourcing team. This role is responsible for processing payroll for multiple client companies, ensuring compliance with local, state, and federal regulations, and delivering timely, accurate payroll services.
Responsibilities
Process end-to-end payroll for assigned client accounts, including wage calculations, tax withholdings, and benefit deductions
Maintain and update employee payroll records in the system
Review and verify timesheets, work hours, and attendance data
Prepare and submit payroll reports to clients on a regular basis
Ensure compliance with applicable laws, regulations, and company policies
Serve as the point of contact for client inquiries related to payroll matters
Collaborate with internal accounting, benefits, and tax teams as needed
Handle year-end processing, including W-2s, 1099s, and other tax forms
Identify and recommend process improvements to enhance efficiency and accuracy
Qualifications
Associate's or bachelor's degree in business or accounting preferred
Proven experience in a fast-paced environment required
Bilingual in English and Japanese
Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks Payroll, or similar) welcome
Strong attention to detail and organizational skills
Excellent communication skills and customer service mindset
Ability to handle sensitive and confidential information with discretion
Strong with numbers
Team work
Proven experience in payroll processing (2+ years preferred), ideally in a multi-client or outsourcing environment
Knowledge of relevant payroll laws and tax regulations (FLSA, IRS rules, etc.) welcome
