Reports To: Vice President of Government and Affairs
Location: Chicago, IL - Hybrid
The Advancement Coordinator provides high-level administrative and project support to the Vice President of External & Government Affairs and the broader marketing communications, fundraising, and event/outreach team. This role ensures efficient daily operations, coordinates outreach efforts, and contributes to the success of fundraising and marketing campaigns and events.
Key Responsibilities
Manage the VP’s calendar, schedule meetings, and coordinate travel and logistics. Prepare meeting materials, agendas, and minutes, track action items. Draft, proofread, and format correspondence, presentations, and reports. Assist with donor outreach and stewardship communications (letters, emails, thank-you notes). Help maintain and update donor and prospect records in the CRM database (Bloomerang). Coordinate content and materials for marketing campaigns, newsletters, and social media as directed. Knowledge of Canva and PowerPoint. Provide administrative and on-site support for fundraising events, donor gatherings, and community outreach activities. Track event RSVPs, prepare guest lists, and manage logistics (venue, catering, AV). Communicate with vendors, sponsors, and partners to ensure smooth execution. Research prospective donors as needed. General Administration
Process invoices, expense reports, and purchase orders. Maintain organized electronic and physical files. Serve as a point of contact for internal teams and external stakeholders. Other duties as assigned. Qualifications
Associate’s or Bachelor’s degree preferred; equivalent experience considered. 2+ years of administrative experience, ideally in a nonprofit, marketing, or fundraising setting. Excellent organizational skills with the ability to handle multiple priorities and meet deadlines. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite and familiarity with donor databases or CRMs (Bloomerang) a plus. Event planning or marketing support experience preferred. Professional discretion and ability to handle confidential information. Collaborative team player with a proactive, service-oriented approach. Detail-oriented, adaptable, and resourceful.
