We’re looking for an Executive Assistant who’s not afraid to roll up their sleeves and make things happen.

As the Executive Assistant to company leadership, you’ll play a critical role in ensuring day-to-day operations stay on track — balancing administrative, scheduling, and coordination responsibilities across multiple departments. This role is perfect for someone who’s hands-on, detail-driven, and thrives in a fast-paced environment.

Responsibilities:

  • Provide direct administrative support to the Owner and leadership team — including calendar management, reporting, and project coordination.
  • Oversee daily office operations, ensuring seamless communication between field and administrative staff.
  • Support HR functions such as onboarding, training coordination, and employee communication.
  • Assist with basic accounting processes (invoicing, budget tracking, and reconciliations).
  • Track client projects, proposals, and schedules — ensuring nothing slips through the cracks.
  • Develop and refine standard operating procedures to enhance efficiency and organization across the business.

Requirements:

  • Proven experience as an Executive Assistant, Office Manager, or Administrative Lead (HVAC, construction, or service industry experience a plus).
  • Exceptional multitasking and prioritization skills — able to pivot quickly without losing focus.
  • Strong written and verbal communication skills with a proactive, can-do attitude.
  • Proficiency in Microsoft Office and CRM software
  • A self-starter who enjoys improving processes and supporting both leadership and team operations.
