Overview

Job Summary : The Arizona Attorney General’s Office Child and Family Protection Division / Child Support Services Section is seeking a Legal Secretary to provide support for one or more Assistant Attorneys General which includes, but is not limited to reviewing, creating, and processing confidential materials and documentation in accordance with federal and state guidelines and regulations.

Remote Options : This position may be eligible for Remote Work two days a week.

Job Duties

The incumbent of this position will be responsible for logging cases in and out of the office and creating working files; obtaining documents from court personnel and records department; following through with post-hearing documentation; filing documents in the appropriate cases; organizing and scanning case-related documents into the imaged case file; logging incoming correspondence with the use of case management database (AZCARES); mailing case related documents to parties; answering and routing telephone calls utilizing a multi-line phone system and taking messages as appropriate; preparation of legal documents such as pleadings necessary to process cases on behalf our client; fielding inquiries from client, court personnel, and others regarding case activity and status; coordinating and following up on service of process including communicating with the process servers and locate unit; entering all calendar events and deadlines; tracking case progression and activities to reflect case status and generate follow through actions in AZCARES; The legal secretary must be able to independently generating legal forms needed in all types of actions and other projects as assigned such as assisting in the training new staff.

Knowledge, Skills & Abilities (KSAs)

Knowledge

  • Knowledge of word processing software
  • Knowledge of legal terminology, legal forms, court procedures and applicable time-frames
  • Knowledge of the principles, concepts, practices, methods and techniques common to a modern law office

Skill

  • Typing at least 60 WPM
  • Oral and written communication
  • Interpersonal relationships
  • Manage / handle a heavy work load under time pressure with multiple

Ability

  • Ability to independently prepare of legal documents
  • Ability to track and follow through on voluminous court actions
  • Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records
  • Ability to organize, prioritize, and perform varied tasks and track multiple deadlines simultaneously

Selective Preference(s)

Experience as an Administrative Assistant and / or Legal Secretary.

  • Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.
