Job Summary

The Arizona Attorney General’s Office Child and Family Protection Division/Child Support Services Section is seeking a Legal Secretary to provide support for one or more Assistant Attorneys General. Responsibilities include reviewing, creating, and processing confidential materials and documentation in accordance with federal and state guidelines and regulations. Remote Options: This position may be eligible for Remote Work two days a week.

Job Duties

  • Log cases in and out of the office and create working files.
  • Obtain documents from court personnel and records department; follow through with post-hearing documentation; file documents in appropriate cases.
  • Organize and scan case-related documents into the imaged case file; log incoming correspondence using the case management database (AZCARES).
  • Mail case-related documents to parties; answer and route telephone calls using a multi-line phone system and take messages as appropriate.
  • Prepare legal documents such as pleadings necessary to process cases on behalf of our client.
  • Field inquiries from clients, court personnel, and others regarding case activity and status.
  • Coordinate and follow up on service of process, including communication with process servers and locate unit.
  • Enter all calendar events and deadlines; track case progression and activities to reflect status and generate follow-through actions in AZCARES.
  • Independently generate legal forms needed in all types of actions and assist in training new staff as assigned.

Knowledge, Skills & Abilities (KSAs)

Knowledge

  • Knowledge of word processing software
  • Knowledge of legal terminology, legal forms, court procedures and applicable time-frames
  • Knowledge of the principles, concepts, practices, methods and techniques common to a modern law office

Skill

  • Typing at least 60 WPM
  • Oral and written communication
  • Interpersonal relationships
  • Manage/handle a heavy workload under time pressure with multiple tasks

Ability

  • Ability to independently prepare legal documents
  • Ability to track and follow through on voluminous court actions
  • Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records
  • Ability to organize, prioritize, and perform varied tasks and track multiple deadlines simultaneously

Selective Preference

  • Experience as an Administrative Assistant and/or Legal Secretary

Pre-Employment Requirements

  • Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.
