RemX by Employbridge is working with a national law firm who is seeking an experienced Legal Administrative Assistant to support attorneys across several practice areas, including Corporate, Bankruptcy, Tax, and Real Estate, in its New York office. This position is non-exempt and offers the flexibility to work remotely one day per week.
Position Overview The Legal Administrative Assistant plays a key role in ensuring the efficiency of daily legal operations by providing high-level administrative and organizational support to a team of attorneys. The ideal candidate is proactive, dependable, and thrives in a fast-paced, professional environment. Key Responsibilities
Provide comprehensive administrative and practice support to attorneys, managing multiple priorities with accuracy and professionalism.
Maintain and organize attorney calendars, schedule meetings, coordinate logistics, and manage deadlines.
Prepare, proofread, and format correspondence, legal documents, and presentations with strong attention to detail.
Assist with time entry, billing preparation, and submission of client invoices to ensure accuracy and timeliness.
Coordinate travel arrangements, handle expense reimbursements, and process vendor invoices.
Support client relationship management and business development initiatives, tracking follow-up activities as needed.
Manage communications between attorneys, clients, and internal teams to ensure requests are addressed promptly.
Oversee document management, filing, and retrieval through the firm’s electronic systems.
Handle administrative tasks such as arranging for couriers, service of process, and conference calls.
Assist with office support activities including supply management and greeting clients.
Track attorney CLE requirements and maintain compliance records for the New York office.
Qualifications
Minimum of 5 years of experience as a legal administrative assistant, ideally in a mid-to-large law firm environment.
Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) and PDF software such as Adobe Acrobat or Kofax.
Experience with legal software such as iManage, Chrome River, and iTimekeep is highly desirable.
