Our client, a mid-sized Atlanta law firm, is seeking a highly organized and experienced Real Estate Legal Assistant to provide comprehensive administrative and legal support to attorneys within the Real Estate Practice Group. The ideal candidate will have at least five (5) years of experience supporting real estate attorneys in a law firm or similar professional setting and be well-versed in the technology, documentation, and procedures associated with commercial real estate transactions.
Key Responsibilities
Provide day-to-day administrative and legal support to attorneys in the Real Estate Practice Group.
Manage and organize case files, including both electronic and hard copy records, ensuring compliance with firm policies and record retention standards.
Draft, format, and edit correspondence, agreements, and other legal documents with a high degree of accuracy.
Coordinate meetings, conference calls, and travel arrangements for attorneys.
Maintain attorney calendars, track deadlines, and ensure timely completion of tasks.
Prepare and submit monthly client billing, edits, and corrections in accordance with firm guidelines.
Process reimbursement requests, marketing expenses, and track payment confirmations.
Open and maintain client/matter files in the firm’s document management and billing systems.
Communicate effectively and professionally with clients, opposing counsel, court staff, and internal colleagues.
Manage document execution processes, including preparing materials for electronic signature via DocuSign.
Perform document scanning, copying, and filing tasks for attorney and client use.
Assist with time entry for attorneys and coordinate submission of timesheets.
Handle outgoing mailings, FedEx packages, and other correspondence as needed.
Perform other related duties and special projects as assigned.
Required Skills and Competencies
Strong organizational and project management abilities with exceptional attention to detail.
Excellent written and verbal communication skills, with the ability to handle confidential information with discretion.
Professional demeanor and strong customer service orientation.
Ability to analyze and resolve problems independently while maintaining sound judgment.
High level of initiative, flexibility, and the ability to work effectively in a team environment.
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and Adobe Acrobat.
Experience with legal document management systems and PDF software.
Strong grammar, spelling, and proofreading skills.
Education and Experience
Minimum of five (5) years of experience as a Legal Assistant, preferably in a real estate law practice.
High School Diploma or equivalent required; Bachelor’s degree preferred.
Demonstrated proficiency with MS Office and Adobe applications.
